Judd Foundation

Judd Foundation seeks an Administrative Assistant to perform administrative tasks in the New York Office at 101 Spring Street, New York. The position will work directly to support the Chief Operating Officer (COO), Controller, Donald Judd Furniture Manager and be responsible for general office duties. This position reports to the Chief Operating Officer and is based in the 101 Spring Street office, and will work Monday-Friday, with occasional evening and weekend work as required.

Judd Foundation is a not-for-profit artist Foundation. The Foundation maintains and preserves Donald Judd’s permanently installed living and working spaces, libraries, and archives in New York and Marfa, Texas. The Foundation promotes a wider understanding of Judd’s artistic legacy by providing access to these spaces and resources and by developing scholarly and educational programs.

Responsibilities

Administration

  • Creating and managing administrative and financial files

  • Supporting Controller and COO in preparing quarterly Board reporting

  • Assisting Controller during annual audit process

  • Preparing and coordinating invoices for Donald Judd Furniture

  • Coordinating meetings, travel and calendars for senior staff

  • Scheduling board meetings and assisting COO in correspondence with the Board of Directors

General Office Duties

  • Answering Foundation phones, general email inquiries, and greeting office visitors

  • Receiving and sending Foundation mail

  • Assisting with photocopying and scanning

  • Maintaining and ordering office supplies and office equipment with management of office budget

  • Ensuring upkeep and organization of office and shared spaces

Requirements

The ideal candidate has a minimum of one year of experience in office administration or related activity and will have excellent organizational, collaborative, and interpersonal skills. The position requires a highly organized multi-tasker who is comfortable with numbers and has good writing skills.

  • Bachelor’s degree preferred

  • Minimum of 1 year of relevant experience

  • Ability to work accurately with numbers and spreadsheets

  • Proficient in software such as MS Office Suite (PowerPoint, Excel, and Word), Adobe suites, with Quickbooks Pro a plus

  • Self-motivated and well-organized

  • Sense of humor and ability to work well in a busy office
