The Facilities Manager is responsible for ensuring the successful daily and long-term operations of the Museum of Craft and Design (MCD). This position coordinates maintenance, repair, utility operations, security, IT and building services for the museum’s galleries, offices, storage and outdoor parklet. In addition, the Facilities Manager provides staffing and operational support for the successful production of an active public and private events calendar.
Implements policies and best practices to ensure high standards of building maintenance, security and operations
Oversees general daily activities including the opening and closing of the museum
Conducts daily inspections of facility to ensure high standards of appearance, functionality and safety of space
Supervises and ensures cost-effective vendor contracts associated with maintenance and operations including janitorial, fire protection, HVAC, security, communications, IT, parklet and garden maintenance, audio/visual, electrical and mechanical needs
Assists in coordination of construction projects and service systems repair
Creates and updates maintenance and operations manuals and inventories
Ensures building and special event permits are submitted in a timely manner and are up to date
Identifies and manages the implementation and maintenance of office technology projects and equipment; supervises cyber security protocols
Serves as safety officer for facility, ensuring ongoing safety measures for the protection of art objects, staff and public are in place
Directs emergency preparedness program including upkeep of emergency and first aid training and supplies, illness and injury prevention and safety trainings.
Manages the building’s key and alarm system for access control; serves as primary point person for building security alerts, ensuring proper response is undertaken, as well as proper security system operation is maintained
Oversees scheduling, supervision and evaluation of contract and in-house security personnel; oversees daily scheduling of lunches and breaks for security staff
Ensures the successful production of an active calendar of public and private events and meetings, providing set-up and break-down of events and event security staffing
Assists Curatorial and Exhibition teams in rotations and installation of exhibitions including vinyl removal, patching and painting of walls, assembly and movement of mobile walls, pedestals and supports, and art installations as requested
Oversees inventory and organization of museum’s storage spaces
Develops and maintains department budget, providing expense, revenue and attendance reports as requested
Other duties as assigned
Bachelor’s degree or advanced certification in business, engineering, facility management or related field
Minimum of 2 years full time experience in the management of non-profit or commercial facilities
Demonstrated organizational skills and ability to balance priorities and meet deadlines in a fast-paced setting
Strong written, organizational, speaking and interpersonal skills a plus
Proficient in the use of computers and software applications, including database management; ability to learn new applications quickly upon hire
Possesses positive attitude, initiative, sound judgement, excellent interpersonal skills and ability to work independently as well as in a team environment
Willingness to work a flexible schedule which includes nights and weekends as needed
Ability to respond quickly to urgent security, building service and utility needs
