SFMOMA expanded the museum to provide a better experience for our visitors and a better home for our expanding collections, including the SFMOMA collection and the Fisher Collection, one of the finest collections of contemporary art in the world. The new SFMOMA, designed in collaboration with the architecture firm Snøhetta, opened May 14, 2016. With this project, we are transforming not just the museum’s physical presence, but also our contributions to the community, enhancing SFMOMA’s role as a place for learning, inspiration, and interaction for visitors from the Bay Area and beyond. We are making SFMOMA a magnet for contemporary art and for the audiences who will engage with it.

This position provides administrative support for the Chief Human Resources Officer and facilitates the daily office operations and procedures for the Human Resources Department. The Human Resources Assistant coordinates the CHRO’s calendar, travel arrangements, correspondence and files and maintains operating procedures for the Human Resources Department. The HR Assistant will engage and have immediate accessibility to museum staff at all levels and is integral to supporting the values and culture of the organization.

Responsibilities
  • Performs all administrative support duties for the CHRO including, but not limited to: coordination of Board committee meetings, distribution, copying, filing, screening phone calls, drafting and processing correspondence and other written material as assigned, maintaining calendars, coordinating travel arrangements and meetings.

  • Assists the HR Manager with HR-related activities and projects as needed.

  • Serves as department contact and supports the day-to-day office activities of the Human Resources Department including filing, mail, phones/email, ordering supplies, coordinating meetings and preparing materials, scheduling and providing staff support at meetings and events organized by the department as needed.

  • Participates in cross-functional team meetings representing Human Resources, as appropriate.

  • Responds to inquiries regarding employment, volunteer and intern opportunities.

  • Establishes and maintain Personnel Files in accordance with federal, state and local law.

  • Day-of contact for onboarding meetings (new hire orientations, I.T., Finance, etc.)

  • Supports engagement activities including staff events, All Staff meetings, curatorial tours, etc.

  • Other projects as assigned.

Requirements
  • Education and Training: Possession of a bachelor’s degree or equivalent experience.

  • Work Experience: A minimum of 2 years administrative experience, experience working in Human Resources preferred. Substantial experience with standard office procedures and practices.

  • Skills and Abilities: Ability to handle many projects with overlapping deadlines at once, while maintaining overview of CHRO’s activities and priorities. Ability to maintain confidentiality on highly sensitive issues and written materials. Must be able to communicate effectively in both oral and written forms. Strong attention to detail. Ability to prioritize and organize work efficiently and effectively. Diplomacy and ability to deal effectively with trustees, volunteers, public and staff. Ability to work effectively with others. Proficiency in Microsoft Office including Outlook, Excel, Power Point and Teams.
