Hales Gallery is an internationally recognized contemporary art gallery operating for over 25 years. The gallery has exhibition spaces and offices in London and New York City. The gallery is seeking a highly motivated and self-driven Registrar to join the New York office.

Responsibilities

Work closely with New York team and UK Registrar on exhibitions, client services, art fairs, and general inventory projects. Maintain and develop inventory and registration control processes and protocols.

Requirements

Candidates must possess strong written and communication skills. An acute attention to detail is key, as is multi-tasking, prioritization, and efficiency with assigned tasks. Superior professionalism when communicating via email, phone, and in-person is essential. Experience with ‘Art Logic’ database systems is preferable though not essential.

Registration:

  • Plan and oversee exhibition installations including discussing shipping needs with departments, obtaining condition reports, ensuring artworks are correctly labelled, and timely completion of projects.

  • Manage international shipments of inventory, setting list deadlines and collection dates, support art handling and external vendors through to project completion.

  • Manage sold client shipping; obtain estimates and Certificates of Insurance; coordinate with clients for their needs; advise clients where necessary; relay all client information to Sales Team.

  • Secure competitive estimates for shipments and stay within budget.

  • Manage import, export, and sold shipment files in preparation for future audit.

  • Oversee domestic customs and artwork receipt documentation.

Inventory:

  • Ensure available artwork is fully and accurately processed i.e. dimensions and inscriptions

  • Coordinate packing required for each type of artwork, requesting specific needs with Production Manager.

  • Oversee quarterly inventory of gallery and warehouses.

Finance:

  • Submit estimates for project lead approval and review and submit invoices for payment.

  • Work closely with Sales Team to confirm ongoing sales and shipments.

Skills:

  • Thorough, organized, team-minded, resourceful, detail-orientated, and professional effective communication with colleagues, artists, clients, and vendors.
