The Database Associate will assist the Database Administrator with functions related to database management and development. The Associate’s primary responsibilities will relate to the organization’s association management system (AMS), netForum Enterprise. The Associate will update and process data including returned mail, enter and maintain lists of prospects and event participants, respond to inquiries from staff and the public about the database and issues with their records when performing online e-commerce transactions, account updates, and assist staff with extracting data from the database. The Associate will function as part of a larger web and technology department that maintains the organization’s database, websites, and network systems. The Associate should be interested in developing his or her database skills and working as an integral part of the technology team.

Responsibilities
  • Data entry to create new records and update existing records in an accurate and consistent way that upholds existing business rules

  • Process returned mail by updating records with current address information of stakeholders

  • Carry out standard housekeeping duties in relation to the database to ensure that the database is always up to date and well maintained; assist with netFourm maintenance procedures including cleaning up duplicate records and other maintenance tasks as assigned

  • Assist with customer service to build strong customer relationships, loyalty, and retention and ensure customer complaints are successfully expedited

  • Assist in processing and maintaining event registrations, membership dues, and financial gifts as batched by accounting

  • Run monthly renewals and drops for Individual memberships and yearly renewals and drops for Organizational memberships

  • Assist Customer Satisfaction Manager with on-site registration for annual meetings that include National Arts Action Summit, Annual Convention, and the National Arts Marketing Project Conference

  • Assist and provide support and training to staff throughout the organization utilizing Abila netForum in their daily work including basic netForum training for all incoming staff members

  • Assist with creating new user accounts and performing quality control on user accounts created via the website

  • Input and strategically code lists of prospects, partners, and stakeholders

  • Update Standard Operating Procedures and technical manuals on database functions as needed and work on an annual basis to review and update all assigned documentation related to netForum

  • Respond to internal and external inquiries regarding contact information and other issues they may have using eWeb on the website to compete event registrations and other account updates

  • Respond to assigned help desk tickets on a daily basis and fulfill the request with in standard prescribed in your yearly goals.

  • Assist staff with performing extractions of data and pulling lists for hard copy mailings, e-mail broadcasts, fulfillment of external requests for Americans for the Arts mailing lists, and running reports

  • Cover the phone for the front desk receptionist as requested, usually a minimum of three times per month for one hour periods

  • Function as an advocate for database integrity, ensuring that systems and procedures are followed by staff working in other departments

  • Assist with general office functions as required, including mailings, filing, photocopying, and faxing

Requirements
  • Degree in computer technology or database management preferred

  • Minimum one year related database experience, preferably with accounting exposure

  • Knowledge of Abila (formerly Avectra) netForum or other Association Management Software databases preferred

  • Basic knowledge of relational database functions, structures, queries and tools

  • Basic SQL skills a plus

  • Willingness to learn SQL programming language or Transact-SQL required

  • Experience with Microsoft Office Excel, Access, and Word, especially mail merges

  • Prior association/nonprofit experience preferred

  • Must be detail-oriented and able to do data entry task with a high level of accuracy

  • Possess excellent problem-solving skills

  • Strong organizational skills and the ability to handle multiple projects

  • Ability to have courteous and professional interaction with the public

  • Ability to maintain good interpersonal relationships in a team atmosphere

  • Willingness to learn about Abila netForum, and take on new challenges

  • A commitment to advancing the arts in America
