Minnesota Street Project Art Services provides a comprehensive, concierge-based art collection management service to private collectors, galleries, and institutions. Adhering to the best art handling practices, we package, install, transport, inventory, and store artwork in conformance with museum standards, with 100% of our profits go to supporting and sustaining Bay Area arts and culture. Our 50,000 ft2 storage facility, located in San Francisco, CA, features state-of the art environmental-control and security systems, as well as an attractive viewing room and photography facility.

We are currently looking for a Client Services Coordinator to join our team of arts professionals.

Responsibilities
  • Exhibits a friendly and approachable demeanor with all Minnesota Street Project clients, staff, and vendors, acting as a positive ambassador for Art Services and the overall Project; ensures strong communication and heightened customer service is facilitated and deadlines are continually met; demonstrates comprehensive knowledge of Art Services’ offerings and the mission of Minnesota Street Project; maintains the highest levels of confidentiality.

  • Works primarily under the direction of the Art Services department, while also performing light reception duties for all other Rappaport entities.

  • Manages front desk and acts as first point of contact for guests of Minnesota Street Project, greeting and welcoming guests and vendors upon arrival and connecting them with the applicable office staff; makes sure that all visitors sign in and show identification, as needed, in accordance with TSA regulations.

  • Ensures a daily overview of all shared calendars to best anticipate meetings, artwork deliveries/receipts, and general staff availability.

  • Fields incoming client inquiry calls, relaying detailed messages to the appropriate parties or connecting clients directly with their Project Managers, all within a timely manner; determines whom is best suited for general inquiry emails and occasionally spearheads responses directly.

  • Assists with supporting business development functions, including target research, note implementation, and client account setup in our CRM; maintains vendor upkeep and enters data for client invoicing.

  • Supports the Art Services staff in all clerical duties, including (but not limited to) document preparation, scanning, filing, mailings, certificate of insurance COI compliance and upkeep, and general data entry.

  • Implements marketing-relating directives from upper management and keeps our social media presence relevant and current.

  • Keeps downstairs reception area and conference rooms tidy and presentable at all times, maintaining desk collateral materials are visable, received packages/mail are properly distributed, and office supplies are consistently stocked; schedules conference room availability.

  • Helps to monitor security by following safety procedures and controlling access to the building via the reception desk; monitors the log book, parking lot, and surveillance screens.

  • Coordinates booking and housing logistics for LA shuttle, conferences, professional development, offsites, and/or parties; assists Operations Manager with preparation for art fairs.

  • Keeps organized receipts and produces monthly credit card reports for Accounting.

  • Opens/closes the building.

  • Attends weekly Art Services departmental meeting, keeping detailed minutes and distributing them to the team.

Reports to Client Services Manager

Requirements
  • BA in Visual Arts, Humanities, Art History or equivalent required; MA preferred.

  • Minimum 3 years’ experience in an art logistics organization, museum, or gallery; must have a general understanding of different art mediums.

  • Ability to quickly identify and resolve problems, effectively prioritize, and manage time efficiently, ensuring projects stay on schedule; self-starter with an ability to shift between tasks and take direction.

  • Customer-service minded; past experience in a client facing role preferred.

  • Demonstrated concern for detail, accuracy and precise execution of work; excellent communication skills, both verbally and written.

  • Proficient with PC and Mac operating systems and software, including Adobe and Microsoft Suites and Filemaker Pro; knowledgeable with the G Suite and CRMs.
