The Skirball Cultural Center seeks an enthusiastic and competent team player to serve as Administrative Assistant for Advancement and Membership. Reporting directly to the Vice President of Advancement, this full-time position is responsible for providing clerical and administrative office support to the Vice President and other members of the department. This position requires strong attention to detail as well as the ability to regularly interface with the Skirball’s member and donor base.
While a portion of this job may be performed remotely, this position will require regular on-site work as needed to support the operations of the Advancement department and assist with on-site Donor and Member Events. Qualified candidates must have an adequate home office.
Administrative Responsibilities:
Report to the Vice President of Advancement and assist in all areas, as requested
Organize and maintain computer and hard-copy files
Maintain various Excel department charts
Answer telephones
Monitor Advancement email
Administer written correspondence and its dissemination
Schedule, arrange, and prepare rooms for meetings
Coordinate and track department check requests and invoices for payment
Coordinate mail house mailings
Attend meetings, as requested; take and distribute notes; assist with organization
Assist in monitoring and preparing annual department budget
Advancement Responsibilities:
Be a knowledgeable representative of the Skirball Cultural Center’s mission and history
Meet and greet visitors of the Advancement department
Provide excellent service to donors and key partners via phone, email, and in-person
Coordinate and assist with hosting on-site and virtual Advancement events
Coordinate external mailings and communications
Work with the Vice President of Advancement to maintain the donor engagement plan
Conduct prospective donor research
Work closely with the President’s Office staff on donor-related projects and reports
Assist Membership Manager on an as-needed basis
Assist Grant Writer on an as-needed basis
Oversee volunteers on special projects
Administrative/Donor Database Management Responsibilities:
Process checks, cash, and credit card donations in Altru
Create and maintain donor and prospect profiles in Altru
Sustain Altru database clean-up
Process invoices, receipts, tributes, and thank-you letters to donors
Process memberships in Altru
Prepare and manage various Altru activity reports and queries
Maintain multiple mailing lists in Altru and one in FileMaker Pro
Administer invitation lists for mailings and special events in Altru
Qualifications, Experience, and Attributes:
Three years of successful administrative assistant experience; experience working in a development department for a non-profit preferred
Undergraduate degree in English, communications, fundraising, or similar field, and/or equivalent experience
Excellent IT tool proficiency and demonstrated ability to utilize Office 365 applications, Altru or equivalent donor database software, FileMaker Pro, and Zoom
Strong organizational skills and the ability to multi-task
Detail-oriented with excellent editing and data entry skills
Proficiency at computer research and navigating online directories and databases
Friendly, outgoing demeanor and a team player
