The Artist Programs Assistant (APA) works closely with the Joan Mitchell Foundation’s program team to provide administrative support and coordination for its artist-centered programs which support contemporary artists. These include but are not limited to: grantmaking programs, professional development and early career artist programs. The APA will also provide administrative support for departmental meetings and initiatives; and for related events. The APA works closely with three Artist Program Managers and reports to the Senior Director of Artist Programs.

Responsibilities
  • Serve as point of contact for artists and program inquiries, redirect queries as needed

  • Support the development and dissemination of program information, support distribution of list-based correspondence to constituents

  • Coordinate logistical and technical aspects of a monthly roster of one-on-one professional development consultations and workshops including registration, confirmation, arranging/troubleshooting in-person or virtual meetings, and evaluation

  • Support the administration of program application cycles, including online applications, jury review processes, notification and compliance

  • Coordinate travel and lodging for program jurors and other external guests

  • Create and maintain accurate program records in areas of responsibility on the JMF server and in hard copy as needed

  • Enter, update and transfer program data into JMF database

  • Circulate agendas and take notes for departmental meetings

  • Support the set up and breakdown of meetings, public events; arrange catering as necessary

  • Other duties as assigned

Requirements
  • 2-3 years experience working in an administrative capacity, preferably arts related

  • Familiarity and ease with Mac based computer systems

  • Intermediate to advanced proficiency with Microsoft Word, Excel, and PowerPoint

  • Excellent written and verbal communication skills

  • Familiarity with working with databases and application platforms like Submittable preferred

  • Proactive and solution driven

  • High level of personal and professional integrity, trustworthiness, strong work ethic

  • Ability to work both independently and as part of a collaborative team

  • Commitment to the Joan Mitchell Foundation mission, vision, purpose and core values

  • Flexible schedule (availability to work some evenings and/or weekends if needed)

SALARY: This is a part-time, hourly position that includes occasional evening or weekend hours. The pay rate is $20 per hour, 15 hours per week.

  • While largely sedentary, this position requires the ability to sit, stand, lift up to 20 lbs, speak, and hear, sometimes for extended periods of time

  • Requires the ability to use a computer and office equipment traditionally found in office settings

  • Requires the ability to travel regionally and periodically nationally, on behalf of the Foundation
