We’re on the lookout for an experienced and highly organized Office Manager/Adminstrator who will play a key role in overseeing all administrative functions, accounts payable/receivable, and operations within our art and design studio. The ideal candidate is a proactive problem-solver, an excellent communicator, and possesses a strong administrative background in a creative setting.
Oversee all office operations and procedures to ensure organizational effectiveness and efficiency.
Manage Quickbooks Online including- accounts payable, receivable, payroll, and financial reporting.
Assist with creative marketing efforts, including writing and submitting project proposals.
Process check requests, ensure timely payments, reconcile monthly bank and credit card accounts, code project expenses, and conduct payroll audits.
Provide basic oversight of our 401K plan.
Manage human resources functions, including recruitment, onboarding, and employee relations.
Maintain and organize company records, including project files, contracts, insurance certificates, and correspondence.
Ensure compliance with industry regulations and company policies.
Develop and implement office policies and procedures to enhance operational efficiency.
Maintain a clean, organized, and inspiring office environment.
Answer phone calls and manage incoming mail.
Perform various other tasks to support our busy studio.
2+ years of proven experience as an Office Manager or in a similar role.
Bachelors Degree preferred
Strong writing and editing skills, especially in correspondence.
Technologically savvy and quick to learn new tools.
Clear and tactful communicator, both over the phone and in person.
Naturally organized—it’s in your DNA.
Socially adept—you enjoy keeping track of who’s where and when.
Meticulous attention to detail and a passion for accuracy.
Ability to work independently with limited supervision and thrive in a team setting.
Strong problem-solving skills, with the ability to resolve practical issues independently.
Proficient with QuickBooks Online; a QuickBooks training certificate is a significant advantage.
Comfortable in a fast-paced environment, managing multiple projects with tight deadlines.
Flexible and willing to work outside regular hours if needed.
Strong knowledge of office management responsibilities, systems, and procedures.
Excellent time management skills with the ability to multitask and prioritize effectively.
Proficient in QuickBooks Online and Microsoft 365 (Word, Excel, Outlook, PowerPoint).
Familiarity with: T-Sheets, 1Password, Asana, and Slack.
