EXECUTIVE ASSISTANT NEEDED

We need a superstar Executive Assistant to support the owner of our dynamic, fast-growing, boutique law firm in New York. Not only will you be deeply involved with the firm, but you will support our owner across professional projects, including an arts non-profit and electronic music label, as well as help manage their life.

The Executive Assistant’s primary goal is to support the Owner with day to day operations, managing the Owner’s calendar, email, and phone lines, overseeing and enforcing policies and procedures with vendors, processing and delivering documents, upkeep and improvement of organizational and operational household systems, and miscellaneous research on topics like marketing, business processes, life hacks, nutrition, sustainability, travel, consumer goods, arts, and culture.

Responsibilities
  • Organize and upkeep the office and home-office, including refining and improving organizational systems and procedures;

  • Preparing financial statements, reports, memos, and other documents;

  • Assist with logging and reviewing expenses, paying invoices, making deposits, and withdrawing cash;

  • Filing and retrieving corporate records, documents, and reports;

  • Research and prepare documents for review and presentation by owner and team;

  • Prepare for client, collaborator and team meetings;

  • Accurately record minutes from meetings;

  • Greet and welcoming visitors;

  • Opening, sorting, distributing and sending mail, faxes, emails, packages, and other correspondence;

  • Reading and analyzing incoming memos, submissions, and maintaining the file management system;

  • Communicate with other parties to schedule appointments, events, and activities;

  • Schedule meetings, phone calls, and book and facilitate travel;

  • Coordinate repairs of equipment;

  • Troubleshoot technology issues;

  • Provide general administrative support.
