The Central Receiving Registrar is an integral part of the inventory and auction process ensuring that all relevant information about each work is recorded accurately and the movement of the property is conducted safely and efficiently. The successful candidate will have the ability to thrive in a fast-paced environment, prioritize numerous concurrent projects, and condition and handle a wide array of works of art including various types of paintings, furniture and decorative arts.

Responsibilities

Examine property upon its arrival to document and verify logistical attributes, including piece count, dimensions, etc.

Photograph and record the condition of property to produce a detailed report of conditions.

Delegate tasks to a team of unionized workers, including Project Leads, for moving, unpacking, and handling property

Act as communication liaison between specialist departments and property handlers, directing arrivals to the appropriate department or storage location.

Coordinate inbound shipments of property with Sotheby’s Shipping department and third-party shipping companies.

Verify inbound paperwork is accurate and reflects scheduled property movements.

Maintain paperwork and records for audit purposes: reporting any discrepancies to the appropriate colleague (Inventory Manager, Risk Management, etc.).

Travel as needed to condition, tag and oversee the receiving process remotely.

Maintain and upload all inbound paperwork to an internal database for external audits and internal reference.

Work with manager to improve overall process efficiencies and reduce waste.

Requirements

Bachelor’s degree

Minimum of 2 years of Registrar experience.

Strong working knowledge of works of fine and decorative art

Ability to handle property in a skillful and careful way with a good working knowledge of safety procedures

A team player who works with other colleagues to complete tasks and activities

Security and safety conscious

Impeccable attention to detail

Strong communication skills with the ability to interact with a wide range of people

Superior organizational skills with the ability to prioritize multiple tasks with speed and efficiency

Excellent time management skills in a fast paced environment

Flexibility to work overtime and weekend hours when necessary
