RISD Admissions is pleased to announce an opening for an Admissions Operation Specialist. This is a unique opportunity for a collaborative, enthusiastic, and organized administrative support professional to join a small, innovative, inclusive RISD team that plays an important role in the enrollment of our students.

The Admissions Operations Specialist is responsible for the timely and accurate importing and processing of admissions data both in and out of the department’s CRM (Technolutions’ Slate) and the College ERP (Colleague). The Operations Specialist will manage the day-to-day responsibilities of managing and processing applicant records, including contacting students to complete applications, answering questions and concerns from students and families regarding admission, and providing excellent customer service. They will prepare applicant files for review by the Admissions Committee, entering decisions, creating, printing, and mailing decision notification. Additionally, they will troubleshoot technical issues with data, reporting, imports, and/or user access. Finally, they will support lawful international student enrollment by becoming a Designated School Official (DSO) and taking responsibility for organizing, producing, and mailing immigration paperwork.

Requirements

Essential Functions/Duties

  • Responsible for coordinating the efficient and accurate flow of applications and materials through RISD’s digital admission process and CRM system.

  • Counsel students and families regarding all aspects of the RISD admissions process. Respond to inquiries concerning the College and admissions policies from prospective students, families, guidance counselors, art teachers, and the public via phone or email (Slate Inbox) and represents RISD in a positive and professional manner. Provide excellent customer service by following up with students/families, ensuring concerns are handled in a timely and accurate manner, and proactively anticipating needs.

  • Process integrations between systems, primarily the Admissions CRM and the College ERP, but also others such as Common App, SlideRoom, and testing agencies. Resolve duplicate records resulting from these processes and troubleshoot problems when necessary. Edit/update student digital records, build and edit reports and queries to verify and confirm successful integration.

  • Support users, both internal RISD users as well as external users like applicants and alumni, in using the CRM. Utilize CRM to create new users, build and document new processes, troubleshoot issues, and back-up functions such as Events and Deliver (event and broadcast email functions in CRM).

  • Complete and maintain Designated School Official (DSO) training and authorization from Department of Homeland Security. Enroll international students in completing and submitting necessary documentation and paperwork for lawful entry to the US. Coordinate, process, send I-20 documentation to students in a timely and efficient manner relevant to their entry into the country

  • Perform a variety of routine and general administrative support duties such as fulfilling requests for information and materials, opening and sorting mail, covering the front desk when needed, managing event registrations, ordering supplies, faxing documents, filing, shipping materials to counselors who are traveling.

Requirements

Minimum of three years of administrative experience. Bachelor’s degree or equivalent experience required. Demonstrated computer skills and prior experience with MS Office, CRM, and database systems, preferably Slate or other CRM. Strong problem solving skills; excellent customer service skills; and proven resourcefulness. Keen attention to detail and the ability to adjust to variable workloads and deadlines. Good technical experience or ability to learn technical skills quickly. Higher education experience is preferred. Required to be well versed in general information about RISD and the admissions process and represent RISD in a positive manner.
