We are looking for an experienced Event and Office Manager to support our team in Berlin.

OUTSET CONTEMPORARY ART FUND Germany_Switzerland is a nonprofit organization that promotes contemporary art and sees itself as a bridge between private patronage on the one hand and public cultural institutions, museums and artists on the other. Our projects are supported by dedicated private donors and companies as well as other cooperation partners.

Responsibilities

The position includes the following responsibilities:

  • Event management and protocol: forward-looking conception and execution of complex, high-level events

  • Preparation, implementation and follow-up

  • Research, calculation, coordination with clients, planning of personnel capacities and technical equipment

  • Creation of cost overviews, pre- and post-costing and billing

  • Supervision and coordination of contact persons and external service providers

  • Liaison and communication with customers on operational level

  • Responsibility and contact person on site during event execution

  • Back office support:

  • Administration of donations

  • Invitation mailouts

  • PR

  • Archive, calendar and database maintenance

Requirements

Requirements:

  • University degree in event management or equivalent studies, or equivalent skills and work experience

  • Several years of professional experience in the planning and execution of events

  • Several years of professional experience in the (contemporary) art market

  • Experience in fundraising and managing nonprofit organizations would be beneficial

  • Creativity and foresight in designing and implementing sustainable fundraising concepts

  • Strong organizational and planning skills

  • Goal-driven and solution-focused, decisive and structured working method

  • Interdisciplinarity, out-of-the-box thinking, managing uncertainty, networking and talent for improvisation

  • High level of commitment, team spirit, enjoy the development and implementation of new ideas

  • High level of service orientation and communication skills

  • Self-initiative, enthusiasm, flexibility and high personal commitment

  • Hands-on mentality

  • Self-confident manner and representative appearance

  • Safe handling of MS Office

  • Fluent command of the written and spoken German and English language
