Visitor Services Staff (VSS) are fundamental to Storm King’s daily operations and are involved in almost every element of the visitor experience. They are critical to the smooth operation of the site by assisting visitors with wayfinding, providing information on Storm King’s featured exhibition and collection, supporting public programs and private events, enforcing rules, and ensuring the safety of visitors, staff, sculpture, and site. VSS are offered the opportunity to be educated on the operations, collection, history, and landscape of the Art Center and gain experience in areas including traffic management, operating Point of Sale systems (cash registers), sculpture protection, visitor management, and driving carts and trams.
The Visitor Services Coordinator (VSC) will assist the Visitor Services Manager (VSM) with scheduling, including attendant availability, payroll, onboarding, and ongoing training.
Schedule daily rotating post assignments for a staff of over 30 attendants ensuring site is adequately staffed and within budget.
Adjust daily post assignments for turnover, absenteeism, inclement weather, reduced or increased admission, unscheduled groups, impromptu VIPs, etc.
Distribute daily post assignments and other materials for morning meetings as requested.
Maintain availability rosters, emergency contact information, and other lists as requested.
Approve and track overtime and time-off requests via online scheduling software.
Review, verify, and track timesheets for hours worked, time off and overtime for bi-weekly payroll processing.
Participate in interviewing VS staff with HR and VSM.
Assist with onboarding new employees, assuring that all required paperwork is completed, and HR orientation is coordinated.
Liaise with other departments when scheduling events on site.
Create and distribute weekly group distribution.
Organize and produce agenda for weekly event meetings.
Participate in editing and revising VS manuals.
Responsibilities of all Visitor Services Staff
Monitor areas of the site and enforce site rules.
Protect Storm King property.
Interact and engage with visitors in a professional and friendly manner.
Open/close site andbuildings as scheduled following established procedures.
Maintain a clean and safe environment including supporting housekeeping by moving or picking up trash, as needed.
Respond proactively to safety issues.
Assist with public programs and private events including set up/break down.
Attend mandatory training sessions throughout the season to learn about Storm King’s featured exhibitions, safety awareness, policy and procedures, and general information.
Other Responsibilities
Support and fill in for other VS Coordinator, Duty Manager, and other VS roles as needed.
Other duties as assigned.
Possess strong interpersonal, customer service skills, written, and verbal skills to effectively communicate with individuals of all backgrounds, including the public, Senior Staff (management), VIPs, Trustees, and artists.
Must be detail oriented and highly organized with the ability to multi-task while prioritizing work activities and using time efficiently, while at times working independently.
Demonstrates reliability, punctuality, professionalism, and confidentiality consistent with our policies to promote a positive team-oriented environment.
High energy with the ability to take initiative, problem solve, and recommend ways to improve processes and procedures.
Demonstrates the ability to stay focused and exercise good judgement under pressure and adapt to changes in procedures and job assignments.
Must be a fast learner, open and able to learn new systems, with the ability to learn MS Office, especially with Word, PowerPoint and Excel.
Must be able to work weekends, holidays, and some evenings and private events, and be flexible for call-in shifts.
Physical Working Conditions
Ability to maneuver outdoors, in all weather conditions, on 500- acres of hills, grass, and gravel path ways
Ability to vocalize in a two-way radio
Ability to stand for long periods of time
Ability to lift/move up to 30lbs a plus
Education, Licensing and Experience
Required:
High School Diploma or equivalent
Valid driver’s license with no serious convictions
Prior experience working with the public, including in volunteer and internship roles
Preferred:
New York State security license
Interest in art and/or landscape
Knowledge of a museum environment
License to operate or experience driving large passenger vehicles
Cash handling and Point of Sale experience
Scheduling and/or management experience
Hours/Schedules
- During the season (April through December), the Coordinator will work full time up to 40 hours per week. The work schedule will be reduced to three days per week during the off season (January through March). Must be able to work weekends, holidays, and some evenings and private events, and be flexible for call-in shifts.
