Boston Arts Academy (BAA) is Boston’s only public high school for the visual and performing arts. BAA provides a diverse student body, a majority who come from low-income families, access to a college-preparatory arts and academic education not otherwise available to them. Our mission is to prepare a community of aspiring artist-scholars-citizens to be successful in their college or professional careers and to be engaged members of their communities. Boston Arts Academy was founded in 1998 when a committed group of educators, parents, and public officials recognized the need for a public arts high school in Boston. The member colleges of the Professional Arts (ProArts) Consortium — Berklee College of Music, Boston Architectural College, Boston Conservatory at Berklee, Emerson College, Massachusetts College of Art and Design, New England Conservatory, and the School of the Museum of Fine Arts at Tufts University – helped found the school, and remain key partners in BAA’s growth and development.

Boston Arts Academy (BAA) is looking for a motivated, detail-oriented professional who cares about education and the arts. This position will spend part of their time as an Event Coordinator and part of their time providing executive-level support for the Headmaster and Senior Managers. The usual working hours are typically Monday – Friday, 8:30am-4:30pm, but will require additional hours on evenings and weekends, depending on event demands.

Responsibilities

Coordinating Events:

Boston Arts Academy hosts a number of events per year including, but not limited to: Assemblies, Award Ceremonies, Prom, and Graduation - some of which are held at Boston-area professional venues. The Event Coordinator is the lead coordinator on many of these school-wide events and will provide support on others. Each event requires vision, planning, high levels of execution, interfacing with venue staff, and providing outstanding customer service.

  • Plan, execute, and manage school events (15 small-, medium-, and large-scale events throughout the course of the year).

  • Work with ProArts partners, community organizations, and other outside vendors to secure event space, manage A/V needs, arrange catering orders, and other event needs.

  • Work collaboratively with Administration, Faculty, and Staff to determine event programming and to establish logistical support, when needed.

Headmaster Support:

Provide executive-level support facilitating the smooth functioning of the organization; requiring independent judgment, discretion, and confidentiality.

  • Manage the Headmaster’s calendar, ensuring their schedule is set to reflect their highest priorities and that they have all materials prepared for each appointment; work closely with Foundation staff to schedule external meetings for the Headmaster.

  • Support Headmaster and Administrators at Senior Management meetings by setting agendas and serving as note taker; support Senior Management Team with other administrative tasks.

  • Support Headmaster in their communications with internal and external constituencies, including by way of the weekly bulletin, the school website, and the annual handbook.

  • Perform other duties as assigned.

Requirements

Experience planning, managing, and leading events.

Experience providing executive-level support to a department head.

Strong customer service and interpersonal skills; experience building and maintaining relationships with a diverse network of individuals and organizations.

Bachelor’s degree preferred.

Ability to communicate effectively orally and in writing; able to deliver clear, concise information tailored to specific and varied audiences.

Strong computer skills, including knowledge of Microsoft Office and G Suite Google Apps required. Additional knowledge of website management platforms, email marketing programs, and design software strongly preferred.

Ability to solve difficult problems, develops creative solutions, identifies key issues through analysis and questions, approaches problems systematically.

Ability to handle changes in direction and work priorities with ease; is adaptable, positive, and level-headed under pressure.

Self-motivated and resourceful with superior organizational and time management skills, attention to detail, and ability to balance multiple tasks simultaneously

Must be a team player with the ability to work independently with little guidance in a fast-paced environment.

A professional attitude, positive outlook, sense of humor, and a willingness to learn.

A high level of integrity, discretion and the ability to handle confidential and sensitive matters appropriately.

NOTE: School-based managerial employees will work 223 days between July 1st and June 30th each year. The 223-day work-year will include the 180 days in which school is in session, and the additional days will be determined by the employee and the headmaster of the school.
