The Alliance for Young Artists & Writers seeks a temporary Programs Assistant to provide operational support for Scholastic Art & Writing Awards programs and National Events. Primary responsibilities will include customer service, creating reports, mail merges, research, and other administrative tasks. The Programs Assistant will report to the Manager, Programs & Communications and will assist program staff as needed based on scheduled priorities. This is an opportunity for direct mentorship with potential for growth.

The Programs Assistant will communicate with high-achieving teen artists and writers, especially during National Events, a week-long celebration bringing more than a thousand students and educators to New York City. Join our team to help us find and recognize the next generation of great artists and writers!

Responsibilities
  • Provide quality customer service by email and phone

  • Assist program staff with large scale mailings

  • Generate spreadsheets and reports as requested in a concise and timely manner

  • Support program staff with planning, production, and execution of National Events, June 3-8, 2019

  • Support communication with students and educators, including preparing e-blasts

  • Assist in organizing medals and preparing student and educator folders and certificates for National Events

  • Attend and represent the Alliance at external, public-facing events and conferences, establishing and maintaining relationships for the organization in a highly professional manner

  • Assist as needed with creative design & development of art workshops and partner presentations

  • Additional responsibilities to be mutually agreed upon as necessary

20-35 hours weekly, with occasional evenings or weekends scheduled in advance. Contract to begin ASAP, applications will be accepted on a rolling basis until the position is filled.

Requirements
  • A Bachelor’s degree

  • 1-2 years of experience with data entry and customer service within an office setting

  • Proficiency with Microsoft Office Suite, especially Excel, Word, and Outlook

  • Strong writing skills, able to explain complex ideas simply

  • A high level of customer service, patience, professionalism, and attention to detail

  • Exceptional interpersonal skills and a professional demeanor

  • Energetic self-starter with strong time management skills

  • Ability to work both independently as well as part of a team

  • Ability to be flexible, adaptable

  • Ability to multi-task and meet deadlines
