The Institute of Contemporary Art/Boston is seeking a full time Exhibitions Coordinator who will provide essential administrative support and perform diversified duties to ensure a productive and efficient exhibition planning process while supporting the curatorial department’s exhibition program. The Exhibition Coordinator will assist with exhibition planning, maintaining project files and images, and supporting the overall exhibition.
Responsibilities:
Assist in all facets of an exhibition development, from inception to presentation
Maintain exhibition checklists
Coordinate hotel and travel arrangements for artists, curators, and other guests of the curatorial department
Draft ICA Tour Proposals to send to other museums and external partners
Keep exhibition history up to date
Facilitate communication with artists, galleries, outside curators and lenders in relation to the production, installation and documentation of exhibitions
Coordinate mailings related to exhibitions
Coordinate installation photography of exhibitions
Assist curators by gathering images, securing rights and reproductions for catalogue and brochure production
Manage and archive exhibition files
Prepare presentations and other materials for internal meetings related to exhibitions
Manage overall exhibition timeline, ensuring projects stays on schedule
Manage didactic production schedule with outside vendors, designers and other museum departments involved in internal signage
Effectively schedule and coordinate press opportunities with Marketing and install activities
Oversee timely production of elements for scale models of planned exhibitions
Manage expense coding for exhibition projects and maintain expense history
Special projects as assigned
BA in Art History or related field of study, with a minimum of 2 years of museum or related office experience
A demonstrated interest in contemporary art
Excellent organizational, communications and interpersonal skills
Exceptional attention to detail
The ability to work in a fast paced environment, multitask and respond quickly
Some evening hours required
