The executive assistant provides high-level administrative support to the museum’s founding director, working collaboratively with all levels of management and staff, and liaising with the museum’s board of directors, outside contractors, vendors and VIP visitors. Administrative work includes managing the director’s appointments, sourcing and arranging all business travel, completing expense reports, and maintaining a fully updated calendar. Within The Broad’s fast-paced work environment, the position handles a high volume of correspondence, creating presentations for meetings including board meetings, and processing contributions and documents on behalf of The Broad Art Foundation. The executive assistant coordinates select events such as exhibition openings or other events both large and small. The executive assistant negotiates and manages business transactions with a wide range of partners, contractors and vendors. Curatorial assistance includes artwork, exhibition and art market research relevant to the Founding Director’s work on developing The Broad’s growing art collection.
Provide high-level administrative support – anticipating, identifying, and addressing the needs of the director and executing solutions to those needs in a timely manner
Coordinate the director’s schedule, ensuring that meetings, deadlines, presentations and other duties are carried out seamlessly
Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software
Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees and boards of directors
Greet and guide VIP visitors or groups, including key museum constituents such as corporate sponsors, when required, or on behalf of the Founding Director
Track artwork acquisitions
Make travel arrangements, coordinating flights, accommodations and other itinerary specifics
Manage aspects of the museum’s relationships with existing and potential corporate sponsors
Assist with VIP visitor requests
Proven experience as an executive assistant or other relevant administrative support experience
In-depth understanding of entire MS Office suite
Meticulous attention to detail
Exceptional ability to interact diplomatically, efficiently and effectively with a wide range of constituents, both externally and internally
Proven ability to handle multiple responsibilities and projects simultaneously, often on short deadlines
Excellent written and spoken communication skills
Professional, discreet and mature demeanor with the capacity to communicate effectively with leading figures in the art market and the museum world
Knowledge of 20th /21st century art, a B.A. or M.A. in art history or museum studies preferred, and/or professional experience in the field
Knowledge of local, national and international arts patrons, funders, leaders, professionals, dealers and artists, or proven aptitude for comprehending quickly and operating within a complex network of high level stakeholders
Prior art museum experience and knowledge of museum operations, standards, practices, and procedures preferred
Fluency in foreign languages is a plus
