The HR Assistant/Receptionist is responsible for responding in a professional and informative manner to all public, internal and external telephone inquiries, while providing support in the day-to-day operations of the HR Department. Provides campus-wide mail services and office supply ordering.
Assists Human Resources Manager with special projects and strategic initiative
Recruits for staff and administrative positions by coordinating with recruiting manager, posting open positions, conducting phone screens, coordinating interviews, conducting background checks, and administration of offers
Arranges for temporary staffing as needed, conducting interviews and coordinating with temp agencies
Coordinates and maintains records of applicant demographics, interview feedback, candidate evaluations, makes recommendations for interviews to hiring managers based on phone screens
Coordinates new hire on-boarding with Hiring Manager to ensure proper technology and work space needs are provided
Arranges accommodations, travel and parking for candidates traveling for interviews
Manages and coordinates co-op and intern programs and intern initiatives across departments.
Coordinates various benefits related meetings/events for staff (Flu-Shot Clinic, 401(k) Meetings, NFP, Credit Union visits, etc.)
Sends regret letters; drafts offer letters for hourly staff
Maintains personnel files
Manages staff listings on KCI website, phone directory, org chart, and Showcase
Coordinates various employee events including holiday parties, employee appreciation events, and service awards
Answers all public, internal and external telephone calls by directing phone calls to the appropriate department
Answers diverse phone questions related to the Kimmel Center program, campus, and direction by communicating professionally
Meets and greets all guests to the Kimmel Center by displaying exemplary customer service
Provides administrative support to the Human Resources department by completing various projects and tasks in a timely manner
Provides HR support to all Kimmel Center and Ticket Philadelphia employees by managing related administrative concerns
Sorts, distributes, and posts mail campus-wide, orders office supplies and business cards campus-wide, and reports maintenance requests to building management of 1500 Walnut
Performs additional human resources duties and responsibilities as directed.
Education & Experience
High school diploma or equivalent required. Associate’s degree preferred
One to two years general administrative and front desk experience preferred
Education or experience in a Human Resources department strongly preferred
Knowledge/Skills/Abilities:
Proficiency in Microsoft Office required
Excellent customer services, communication and interpersonal skills
Ability to manage a high volume of diverse public inquiries
Ability to multitask and maintain confidentiality
Ability to lift up to 30 pounds
Ability to walk and stand up to three hours
Environment, Physical Demands, and Other Conditions: Office Environment

Travel outside to other KCI sites, resident companies and vendors in all weather conditions
