The Development and Office Assistant is responsible for supporting the Chicago Artists Coalition’s fundraising and revenue-generating initiatives, as well as providing bookkeeping and administrative support. This is a one-year position, with the possibility of renewal for two additional years. The Assistant reports to the Director of Development and External Affairs and will work closely with the Executive Director.

Background

Established in 1974, the Chicago Artists Coalition (CAC) is a non-profit organization that supports emerging Chicago artists through education, artist residencies, and exhibitions—providing them with the resources to live, work, and thrive in the city. CAC is committed to building a diverse community of artist leaders who define the place of art in our city’s culture and economy, and to cultivating a wide-reaching civic, philanthropic, and public support network that enhances the impact of contemporary artists in Chicago.

Responsibilities

The Development and Office Assistant is primarily a member of CAC’s Development team whose responsibilities include providing general support across all areas of the organization’s fundraising and revenue-generating efforts. The position is responsible for maintaining and helping to grow the organization’s membership and for communications with CAC’s donors and supporters. This position also plays a key role in supporting fundraising events. In addition to a focus on Development the Development and Office Assistant is responsible for assisting with the organization’s finances, specifically bookkeeping, as well as managing general facilities issues.

Responsibilities Development (50%):

  • Maintain and update CAC’s database (e-tapestry) of donors, supporters, and prospects.

  • Support CAC’s membership programs: process renewals and acknowledgements and produce solicitation campaigns for new members/prospects.

  • Maintain and update CAC’s email marketing platform (Campaign Monitor) for developmentrelated events and communications.

  • Provide individual giving and campaign support: preparing digital annual fund solicitations, pulling donor lists, and processing acknowledgements.

  • Assist with the facilitation/support of all fundraising and cultivation events, including annual benefit.

Responsibilities Finances (20%):

  • Assist with CAC’s financial management/bookkeeping in consultation with Executive Director and offsite bookkeeper.

  • Process checks and deposits.

  • Support preparations for CAC’s annual audit.

Responsibilities Communications (15%):

  • Assemble and prepare e-newsletters and dedicated e-blasts.

Responsibilities Office (10%):

  • Assist with building facilities.

  • Track and order supplies.

Other (5%):

  • Other duties as necessary.
Requirements
  • BA in arts-related field, or equivalent degree in arts administration or nonprofit management, preferred.

  • At least 2-4 years of professional work experience in the nonprofit arts sector, preferred.

  • Excellent writing, speaking, and overall communication skills.

  • Detail-oriented and well-organized; ability to multi-task.

  • Knowledge of the Chicago arts and nonprofit community, a plus.

  • Ability to set and manage deadlines, and communicate and plan for necessary adjustments clearly and in a timely manner.

  • Must be self-motivated, creative problem solver, and team-builder.

  • Must be willing and available to work some evenings and weekends.

  • Knowledge of Microsoft Office, multiple Google platforms, and ability to learn and utilize other programs including e-tapestry and Campaign Monitor helpful.

  • Basic graphic design skills are helpful.
