We are looking for an energetic and engaged communications and studio assistant who can fulfill an ever evolving and dynamic roll.

Responsibilities

Executive Assistance

Assist Principal Architect with various tasks and errands

Manage calendar/ scheduling

Organize travel

Marketing

Research and keep up to date on award and public art calls

Prepare submissions for awards and potential projects

Implement marketing initiatives

Perform graphic design-related tasks

Write, proofread and/or edit content for press releases

Laisse with writers/ publications

Put together targeted presentations for clients/ leads

Assemble press kits which include resized photos, project description, key facts, etc. for media

Keep master CV up to date

Keep publications master list up to date

Post on Facebook and Instagram

Maintain website through WordPress

Initiate and plan team events

Organize and send out Christmas cards and gifts

Organize photoshoots which include scheduling photographer/ client, staging and post-production coordination

Keep Bowerbird (online media platform) up to date with new projects and making contact and building relationships with international publications

Reception

Answer phone, direct calls, check voicemail/s

Answer door: greet guests/clients and offer refreshments

Maintain, check, archive and respond to inquiries in studio inbox studio@paulraffstudio.com and hiring@paulraffstudio.com

Manage incoming and outgoing mail/ couriers/ packages

Meeting set-up and clean up (coffee/water/snacks/catering/ TV monitor)

Coordinate and set up Lunch & Learns

Pick up weekly flowers

Office Administration, Archiving, Resource Library

Troubleshoot technical issues, correspond with our IT company (LTS)

Ensure set-up of auto-response emails during holidays

Track and order office supplies including kitchen and bathroom

Organize and fully manage, update, maintain the Sample and Spec Library

Maintain Technical and Operations Manual

Organize catering /set up for VIP lunches (Principal and VIP project leads meetings)

Act as the initial point of contact for project leads. Gather information and assist with organizing in studio meetings and drafting proposals

Housekeeping

PRS does have cleaners that come in on Mondays and Thursdays. They manage the garbage and recycling. There are daily duties required to maintain a clean and safe working environment. They include:

Maintaining tidiness of the office (daily)

Empty/load dishwasher (as needed/daily)

Restock bathrooms (daily)

Clear fridge on Thursday office clean-up

Light studio maintenance – change light bulbs, etc.

Ability to re-prioritize and re-calibrate timelines of work in progress

Outstanding writing and editing

Proficiency in Microsoft Office

Excellent knowledge of Adobe Creative Cloud (InDesign, Photoshop, Illustrator), social media tools (Facebook, Twitter, Instagram, etc.), and webpage editing (WordPress)
