The Senior Project Manager is responsible for managing large scale projects from initial estimations, through installation and final punch list. He/she is responsible for all aspects of project management, including: developing and following a schedule, engineering elements efficiently, ensuring that standards are met, maintaining strong internal and external communication, ordering materials in a timely manner, maintaining budgets, ensuring schedules are met, and “driving” their assigned project. The Senior Project Manager reports to the Director of Production (DOP).

Responsibilities

Budgeting – Initial Bid/Proposal

  • Meets with client or designer to fully understand and determine scope of project.

  • Prepares bid/proposal, reviews with DOP or President, and submits to client.

Engineering and Drafting

  • In collaboration with the project team, determines the best methods and materials for achieving design objectives, efficient engineering and material types.

  • Supervises project draftspeople and assistant project managers.

  • Orders job specific materials, supplies and sub-contractors.

Production and Scheduling

  • Meets with appropriate internal and external stakeholders to determine a production schedule.

  • Ensures all milestones and project deadlines are met.

  • Assists the job lead in assigning shop labor and supervises team as needed.

  • Conducts frequent inspections of work in progress to maintain desired level of quality.

  • Uses overtime judiciously and appropriately.

Budget Controls

  • Tracks labor and materials as project progresses, to ensure project is completed within budget.

  • Carefully tracks all change orders.

  • Reconciles budget vs. actual costs at completion of project.

  • Prepares final invoice and reviews with President.

Client Communications

  • Maintains open, honest, and clear communications with clients.

  • Remains attentive to the needs of the client, always following up in a timely manner.

  • Follows up with client after initial bid is submitted.

  • Keeps client well informed as job progresses.

  • Follows up with client upon completion of project.

  • Always makes the client feel like they are being taken care of.

Internal Communications

  • Maintains open, honest and clear communication with internal team.

  • Remains attentive to the needs of the internal team, always following up in a timely manner.

  • Meets with the DOP regularly and provides clear, concise project status reports regarding job progress and needs, budget, and client satisfaction.

  • Continually communicates with the internal project team to resolve problems, obtain additional information, and ensure schedules are met.

  • Attends cross-functional meetings as requested, for specific project needs.

Requirements
  • Generally works with minimal supervision.

  • Makes independent decisions daily.

  • Supervises employees on a project basis.

  • Identifies unresolved design issues and reports to appropriate management.

  • Effectively prioritizes work and adapts to changing circumstances and needs.

  • Continually looks for process improvements and other efficiencies.

  • Understands the project phases for a custom fabricator of museum exhibits and theatrical scenery.

  • Other tasks as assigned.

Knowledge, Skills, and Abilities

  • Certification, degree, diploma or equivalent in a related field

  • At least 7 years of project management experience in a related field

  • Strong and effective communication skills

  • Ability to estimate project labor and material costs

  • Attention to detail, accuracy, and quality control

  • Strong knowledge of MS Office (Excel, Word, Outlook, PowerPoint), project management software and AutoCAD a plus

  • Critical thinking

  • Curious, proactive and self-aware.

  • Strong organizational skills

  • Ability to perform independently

  • Technically proficient in a variety of fabrication processes including: cabinetry, millwork, theatrical fabrication, metal work and welding, paint finishing, plastics and others.

  • Some travel may be required with this position.
