Job Overview: We are seeking a talented Administrative Assistant and Event Planner to join our team. You will manage the day-to-day operations of the studio, provide critical administrative support to our team of designers, post daily to our social media, and help plan and execute marketing events in a way that aligns with our brand and the principal’s vision. You should apply if you are dog-friendly, a self-starter, and enjoy working in small teams.

About you: You are extremely organized and detail oriented, and LOVE juggling multiple complex projects at once, with limited supervision. You have good taste and the ability to interact joyfully with high net worth individuals, designers, and contractors. You love supporting others. You take direction easily and quickly, and can self-start and self-direct once given the task and the tools. You are willing to get your hands dirty whether preparing for an event, researching a product, writing an email, troubleshooting a faulty printer, or taking videos to post on social media.

Responsibilities

Executive Assistance:

  • Assist studio principal with email management and scheduling meetings.

  • Anticipate needs of the principal, even before he is aware of them.

  • Keep a creative boss on task and on schedule while still having fun.

Studio Administration & Office Management

  • Maintain and manage spreadsheets tracking office projects and billings.

  • Work with your managers to extract and analyze data from spreadsheets.

  • Prepare, update, and customize project proposals.

  • Coordinate with accountants and vendors for smooth operations.

  • Manage subscriptions and payments

  • Order office supplies and manage technology vendors.

  • Ensure the office runs efficiently and effectively.

Event Management:

  • Plan and execute studio marketing events, working closely with firm managers, vendors, and publicists.

  • Manage Eventbrite and Mailchimp campaigns, update contact lists, manage VIP lists.Oversee and coordinate event follow up.

  • Social Media Management:

  • Create and post engaging content on Instagram, monitor engagement, and respond to comments and messages.

  • Archive media assets and ensure they align with the studio’s design vision.

  • Collaborate with the PR consultant and marketing team to integrate social media campaigns with overall marketing initiatives.

  • Analyze social media data to identify trends and insights, adjusting strategies accordingly.

Requirements

Qualifications:

  • Organized, meticulous, and passionate about design.

  • Extremely detail oriented.

  • Able to juggle many things at once, in a dynamic environment, with limited supervision

  • Strong written communication skills.

  • A ninja with Microsoft Word, Google Docs, Excel, and Google Sheets.

  • Familiar with Adobe Suite.

  • Able to learn and use Mailchimp, Eventbrite, and Quickbooks.
