Administrative Assistant

Artist's Studio

Busy artist’s studio seeks an experienced administrative assistant. The administrative assistant will work closely with, and provide administrative support to the Studio Director and the HR and Operations Manager. Tasks will include some bookkeeping and a familiarity with Quickbooks is preferred. The ideal candidate will be highly organized with the ability to manage and prioritize multiple projects. Flexibility and a willingness to learn and adapt are key. Candidate must also be able to handle confidential information with discretion.

Position is full time (M-F, 9am to 6pm)

Studio is located in the Elysian Valley

Responsibilities

Responsibilities include, but are not limited to:

  • Assisting HR and Operations Manager with HR administration

  • Assisting Studio Director, Studio Manager, and HR and Operations Manager with the administrative tasks related to building and facilities management

  • Bill payment, sorting of mail, and managing organizational spreadsheets

  • Oversee studio credit card expense reports and petty cash

  • Update and maintain filing systems for administrative and financial records

  • Assist with tracking invoicing, bank balances, and incoming wire transfers

Requirements

Skills and Qualifications:

  • Proficiency in Excel and Google Suite

  • Familiarity with Quickbooks

  • Some experience in an administrative capacity in an artist’s studio, art gallery or similar environment preferred

  • Excellent written and verbal communication skills

  • Ability to work independently and as part of a team

  • Strong attention to detail

  • Must be comfortable around dogs
