ABOUT THE POSITION

The Kitchen seeks an Administrative Assistant to provide critical support to the organization at a pivotal moment of its growth. The Administrative Assistant will report to the Chief of Staff, working across all departments to help support, streamline, clarify, and organize administrative and programming operations. The position requires a candidate equipped to think broadly and innovatively about The Kitchen’s artist-centered mission, while also independently managing a wide range of administrative and operational responsibilities.

The candidate must be comfortable working in a collaborative, experimental, and culturally diverse setting and possess the openness, flexibility, and diplomacy required for meaningful collaboration with contemporary artists. Innovative and outstanding communication, writing, and research abilities are celebrated.

Responsibilities

RESPONSIBILITIES:

  • Efficiently and professionally greet and assist all visitors, including operation of the video intercom and door buzzer.

  • Answer and direct incoming phone calls to relevant team member.

  • Monitor and direct emails received to organization’s info@thekitchen.org and boxoffice@thekitchen.org accounts to relevant team member.

  • Scheduling and calendar management across Shared and Personal calendars.

  • Prepare agendas and take meeting minutes for All Staff meetings (every other Tuesday).

  • Collect, sort, and distribute incoming mail and packages daily, help coordinate incoming deliveries.

  • Purchase postage and deliver outgoing letters and packages to USPS, UPS, and FedEx locations.

  • Support institutional batch mailings across departments.

  • Order general office and pantry supplies and submit receipts to accounting weekly.

  • Manage leased office equipment and ordering related supplies and repairs.

  • Perform administrative box office duties, including managing ticketing, complimentary ticket requests, and guest communications. Assist with scheduling box office shifts and completing time sheets for temporary staff.

  • Supports visitor services and front of house operations as needed.

  • Support the timely fulfillment of online merchandise orders and updating inventory.

  • Assist with the coordination of facility-related maintenance and repair appointments.

  • Maintain presentable office, gallery, pantry, kitchen, and various other office areas.

  • Assist Communications Manager with layout and printing of institutional materials.

  • Light web maintenance as needed.

  • Other duties as assigned.

Requirements

EDUCATION, EXPERIENCE, AND SKILLSETS:

  • Minimum of 1-3 years of work experience, with at least 1 year in an institutional setting, or comparable arts-related venue

  • Outstanding written (both academic and editorial) and verbal communication skills

  • Excellent organizational and analytical skills; experience with administrative and clerical duties

  • Vested interest in working for a nonprofit arts organization with an avant-garde and experimental mission; an interest in performance, movement research and experimental media a plus

  • Strong interpersonal skills, positive energy, and collaborative spirit

  • Ability to manage multiple projects at once and handle confidential information

  • Excellent computer skills, particularly Google Workplace, and Microsoft Office

  • Experience with Audience View software a plus

  • Bachelor’s degree required

  • Receptivity to a work schedule that sometimes will involve evenings and weekends as tied to institutional programming

Starting salary is $40,000, commensurate with experience. This is a full-time, on-site position at 40 hours/week and includes medical, vision, and dental insurance, commuter benefits, a 403(b) savings plan and paid time off. The position is exempt according to the Fair Labor Standards Act.
