Las Vegas based advisory firm looking for an administrative assistant to support with all day to day administrative duties; including but not limited to the following day-to-day responsibilities
Registrar Responsibilities:
Maintain gallery and client artwork inventory/contact database (Artsystems)
Coordination of shipments both to and from the gallery
Client inventory shipments (domestic and international)
Generating loan/consignment agreements
Catalog and register all incoming inventory
Coordination of artwork shipment, invoicing, installation, and conservation
Perform condition reports and oversee artwork installations and packing
Administrative Support
Support documentation for sales and client inquiries (Artsystems/Photoshop)
Manual filing system
Manage purchasing of office supplies and gallery materials
Vendor account maintenance
ArtSystems maintenance – software updates – CLOUD database management system
Maintain gallery Website and Social Media (Facebook / Twitter)
Design and send email blasts (MailChimp)
Light Accounting Support:
Coordinate with company bookkeeper to ensure accuracy of financial recording
Draft weekly invoices for sales and services
Bank deposits and record keeping
Bachelor’s degree in a relevant field
Preferred experience in a gallery, museum, auction house or related field
Proactive, engaged worker with attention to detail
Strong interpersonal and communication skills
Ability to be a self-starter, independent
Proficiency with Microsoft Office, Photoshop, and Excel
