Common Field’s Administrator Manager will work closely with the Managing Director to oversee and lead administration for day-to-day operations and financial management of Common Field. This includes oversight of payroll, account consolidation, payments, policy making and generally maintaining Common Field’s financial health and compliance with local, state, and federal tax and operational laws.

Type: part-time, non-exempt

Hours: 16 hours/week

Rate: $36/hour

Location:

This position is remote and does not require travel. Common Field is a 501©3 incorporated in California but our current staff operates 100% remotely, working across multiple states and time zones. This position does not require residence in California but does require knowledge of California’s financial and tax guidelines and policies for non-profit organizations.

Work Schedule:

The Administrative Manager should be available no less than 2 days each week during general operating hours (Mon-Fri, 9/10-5/6pm in your time zone). Hours can be spread over more than 2 days. This position is expected to attend weekly team meetings on Tuesdays.

Responsibilities
  • Develop and implement administrative processes and policies for organization with Managing Director

  • Complete monthly consolidation of finances and reporting

  • Track multiple budgets

  • Manage and administer payroll

  • Manage annual tax return administration with contracted accounting team

  • Research and make recommendations to set up a sustainable financial structure for organization with an eye towards growth

  • With Board Treasurer, develop quarterly and annual board reports

  • Work with Managing Director, manage onboarding for new employees across multiple regions

  • With Managing Director, develop internal systems and policies for staff administration

  • Assist with financial administration of grants program

  • Track Common Field’s grants for annual reporting

Requirements
  • 2-4 years experience working with non-profit finance

  • Some experience working with employee administration and support (onboarding, policy making)

  • Proficiency in Quickbooks, Gusto, Stripe and ability to work with multiple online portals for banking, reporting, and administering finances

  • Interest in working with an organization that supports small art organizations, artist-run initiatives and other independent organizations that are part of Common Field’s network.

  • Knowledge and ability to assess and fulfill financial compliance with California state laws for 5013c organizations

  • Ability to create quarterly and annual financial reports and consolidate organizational finances

  • Knowledge and ability to create and organize financial structures to best serve the reporting and financial needs of the organization short and long term

  • Trustworthy and detail oriented individual

Job Specifications:
