The San José Museum of Art (SJMA) has an exciting opportunity for a Human Resources Manager, who will be a part of a small team of creative and dedicated museum professionals.

The Human Resources Manager will be a leader in shaping the professional human resources vision for the Museum’s future, a key element of SJMA’s new Strategic Plan. They will be responsible for envisioning and overseeing the strategic objective to become known throughout SJMA’s community as a uniquely collaborative and empathic institution, internally and externally. Additionally, SJMA is dedicated to being accessible and welcoming for our majority-minority community, and will be developing an institution-wide Diversity, Equity and Inclusion (DEI) plan.

Reporting to the Executive Director, and a member of Senior Staff, the Human Resources Manager is directly responsible for the overall administration, coordination and evaluation of the human resource function in a newly formed department, with demonstrated ability to handle confidential information with discretion. Responsibilities also include general, office administrative duties, and those related to on-and off-boarding activities. The position exercises considerable independent judgment to select proper courses of action, and must be able to work independently, use initiative, and make substantive decisions quickly.

Responsibilities
  • Under the supervision of the Executive Director, develops and administers human resources plans and procedures for all Museum personnel, instituting new goals of the Strategic Plan to foster cross-departmental collaboration. Work with senior management to develop an institution-wide Diversity, Equity and Inclusion (DEI) plan.

  • Plans, organizes and controls all activities of the department. Participates in developing department goals, objectives and systems. Provides coaching and encouragement for departmental needs and institutional growth, including time and project management, and other developing areas.

  • Implements and annually updates the compensation program; rewrites job descriptions as necessary; conducts annual salary surveys and develops merit pool (salary budget); analyzes compensation; monitors the performance evaluation program and revises as necessary.

  • Develops, recommends and implements personnel policies and procedures; prepares and maintains handbook on policies and procedures; performs benefits administration to include claims resolution, change reporting, approving invoices for payment, annual re-evaluation of policies for cost-effectiveness, information activities program and cash flow.

  • Conducts recruitment effort for all exempt, nonexempt and temporary workers, administering from ADP’s Workforce Now; writes and places advertisements; works with supervisors to screen and interview candidates; conducts reference checking; extends job offers; conducts new-employee orientations; monitors career-path program and employee relations counseling; conducts exit interviews.

  • Assesses training needs throughout museum, proposes training and development programs and objectives, and develops, implements and delivers variety of training programs for varying levels of staff, Museum-wide. Delivers new employee orientation. Trains and coaches managers and others involved in employee development efforts.

  • Responsible for all general Human Resources- and office administrative duties, including but not limited to on- and off-boarding activities, administering full checklist of necessary steps with key individuals in Administration department, such as IT for new user email accounts, hiring managers for software program set-up if necessary, and assigning/managing printer codes and phone lines, etc.

  • Produces various HR-related reports, such as headcount and turnover, from ADP’s Workforce Now.

  • Supervises Museum paid internships and coordinates developing Volunteer programs with department managers in Education and Development.

  • Establishes and maintains department records and reports with discretion. Participates in administrative staff meetings and attends other meetings as necessary.

  • Leads all trainings on staff procedures, assists managers with employee relations matters as needed,

  • Evaluates reports, decisions and results of department initiatives in relation to established goals. Recommends new approaches, policies and procedures to effect continual improvements in efficiency of department and services performed.Ensures compliance with all federal, state and local employment laws.

Requirements
  • Bachelor’s degree (B. A.) from four-year college or university, and five years’ related experience and/or training; or equivalent combination of education and experience.

  • SHRM Certified Professional (SHRM-CP) or SHRM Senior Certified Professional (SHRM-SCP) credential, or HRCI’s (S)PHR certification preferred.

  • Museum or arts/culture or educational institution experience preferred.

  • Broad understanding of museum practice and visitor experience required, direct museum or arts/culture or educational institution experience preferred.

  • Excellent written and verbal communication skills essential, and proven experience leading meetings and trainings.

  • Solid, hands-on experience with HR database administration using ADP’S Workforce Now essential.

  • Excellent computer skills including Word, Excel and PowerPoint.
