The Art Garage is seeking an organized, enthusiastic and detail oriented individual who is interested in a full time position as an Administrative Assistant within a vibrant, community art center that is a 501©3 nonprofit organization. Qualified applicants will assist the Executive Director, Associate Director and the entire staff in a variety of ways including; scheduling, event and party coordination, office procedures and overall assistance with organization and operations at The Art Garage. A qualified candidate would have at least 2 years experience in an administrative role, Bachelor’s degree or similar equivalent is preferred. Ideal start date for this position is Mid-May/Early June. Hours are June-August mostly Monday through Friday 8:30am-4:30pm. September-May hours may vary but Saturday and Sunday will be consistent hours of 9:15am-6:30pm. It is important to understand that these hours are not set and vary based on programming that is scheduled through the year and including weekends. The availability to work weekends September to May is required. Candidates will be background checked.
Scheduling:
Scheduling birthday parties for the weekends and scheduling appropriate staff
Schedule offsite and onsite events for community organizations and schedule appropriate staff
Schedule appropriate staff for all classes (based on skills, experience and background)
Strong communication skills between entire staff, the Executive Director and Associate Director in regards to operations and scheduling
Customer Service
The administrative assistant must conduct excellent customer service with all patrons, guests and participants.
Phone etiquette must reflect the values and mission of The Art Garage

Office Procedures
Coordinate and maintain all organization within the office
Confirm and request required forms for all clients
Perform excellent customer service when answering phone calls, speaking with clients and all potential new business
Return all voicemails in timely manner
Cleaning and overall studio upkeep
Supporting all staff
Communicate with all staff with professionalism
Assist Executive Director and the Associate Director
Be available to assist with any needs of the Executive Director and Associate Director
Positively represent The Art Garage
Keep the Executive and Associate Director up to date on events or any concerns happening at The Garage.
