As a full-time position, the Chief Preparator/Registrar & Operations Manager is responsible for the installation of exhibitions, the maintenance and safety of artwork in the galleries, and overseeing the maintenance and daily operations of all facilities at 38 St Marks Place and the office at 117 Second Ave.
Chief Preparator/Registrar
Oversee the installation/de-installation of all exhibitions:
Work closely with the curatorial team to generate plans for the execution of art production, exhibition realization, and all associated logistics
Hire and manage all outside contractors, including freelance technicians/art installers, wall-builders/carpenters, A/V technicians, etc.
Liaise between artists, curators, and contractors
Delegate tasks and plan timelines/schedules for efficient workflow of all parties
Schedule, manage, and oversee all art shipments and create condition reports for all incoming and outgoing objects, including liaising with shipping companies, couriers, galleries/studios, and conservators, as required
Prepare written exhibition guides and assist in staff training for each exhibition
Manage the inventory of tools, materials, and supplies for exhibitions and art shipments, order materials as needed and oversee the delivery, storage, and condition
Assist the curators with organizing logistics for public programs and events
Manage all art storage, both on-site and off-site, including maintaining our art inventory database and coordinating the movement of objects
Perform general maintenance of all objects/works while on view, including those in SI’s Onsite series of semi-permanent installations throughout the building and rooftop
Plan and manage the logistics of the art auction portion of SI’s annual Benefit, in collaboration with the curatorial team
Operations Manager
Oversee the maintenance of facilities at 38 St Marks Place and office at 117 Second Ave, including but not limited to: All structural components (interior and exterior), heating and cooling systems, plumbing, electrical, fire safety, ADT security/CCTV cameras, elevator, internet service
Oversee and manage the position of Facilities Maintenance Technician; coordinate scheduling, communicate daily tasks, oversee invoicing and payments, and ensure an adequate supply of materials, cleaning products, and tools
Schedule and oversee repairs and maintenance of the building and its systems and liaise with contractors, architects, and service technicians regarding site visits
Maintain up-to-date records and certificates for the building and its associated systems and ensure that all are functioning properly. Manage inspections of all systems and ensure compliance with NYC DOB requirements, as well as with SI’s accessibility standards
Liaise with Head of Community Engagement & Visitor Services, as well as Visitor Services Associates, regarding daily operations and safety for gallery attendants and visitors
Liaise with Bookstore Manager of Printed Matter St Marks regarding daily operations, safety, scheduling, storage, and public programming/event logistics
Additional Responsibilities
- Participate in SI’s DEAI initiatives
3+ years of commensurate experience in art handling, installation, registrarial work and logistics
Ability to effectively manage multiple roles and responsibilities, often under pressure
Ability to hire and manage others, delegate tasks, process invoices, and oversee the proper execution of projects from start to finish
Excellent written and verbal communication skills
Excellent time management and problem-solving skills
Proficiency in Microsoft Office suite, and experience with Photoshop, InDesign, and SketchUp preferred
Comprehensive knowledge of mechanical and structural systems, and safe working practices
Experience with the safe use of hand and power tools
Ability to lift 50+ pounds
