The Calder Foundation—a nonprofit institution dedicated to collecting, exhibiting, preserving, and interpreting the art and archives of Alexander Calder—is seeking a Collections Assistant to join the Exhibitions & Registration Department.
Primary responsibilities include:
Performing daily administrative responsibilities related to the Foundation’s Exhibitions department
Working on ongoing inventory projects in the Registration and Archives departments
Cataloguing incoming and outgoing artworks in the inventory system
Managing the exhibition and long-term loan calendars
Organizing physical exhibition files and related documents
Scheduling vendors related to exhibitions and internal projects
Answering and directing phone calls and emailed requests
Assisting the Senior Registrar with local, national, and international shipments, which includes preparing shipping documents, managing and filing bills of lading and airway bills, creating inventory spreadsheets, and receiving artwork shipments
Assisting the Deputy Director of Exhibitions with management of exhibition contracts, insurance schedules, and on-going conservation projects, including archival research and project timeline management
Assisting other department directors with administrative or logistical duties as requested
The applicant should possess extreme attention to detail and the ability to manage logistics for multiple exhibitions and other ongoing projects at the same time. The Collections Assistant will be supervised by the Senior Registrar and Deputy Director of Exhibitions but should be capable of working independently. This is an in-person position, Monday through Friday.
Qualifications:
A Bachelor’s degree, or equivalent
One year of prior registrarial, archival and/or arts administration experience
Fluency with FileMaker Pro, Microsoft Office (Excel, Word, etc), and Mac OS
Since visual literacy is an important aspect of the position, a background in Art or Art History is preferred
Experience with art handling is also beneficial to the applicant
The successful candidate will be highly organized, motivated, and a competent multitasker. They should be able to take direction well and have excellent interpersonal and communication skills.
