Pace Gallery is seeking an experienced, part-time Collections Manager to work closely with prominent collectors and Pace staff on the management and care of a 900+ object private collection of Modern and Contemporary artworks and antiquities. The Collections Manager will be responsible for upgrading and maintaining the artwork database, assisting with the physical management of artworks at various residences and storage facilities and helping to ensure proper packing, storage, care and maintenance of all artworks. The Collections Manager will have excellent organizational skills, the ability to carefully manage projects, work cooperatively, have a positive attitude, and be professional and communicative. This position is a 12-month part-time position (subject to renewal) and comes with a minimum 2 days per week schedule.

Responsibilities
  • Work closely with the Collectors and Senior Registrar to oversee database maintenance, records management, basic art preparation, and track movement and storage for a collection of nearly 900 fine art objects and antiquities.

  • Work with the Collectors, IT Staff, and Senior Registrar to devise and implement an effective and efficient modern records management system; to include overseeing the accurate and timely migration of records from the historical database system.

  • Document object information with the Collectors and Senior Registrar to ensure all information regarding the physical nature, location, handling, installation, display, packing, shipping, environmental and special requirements are recorded.

  • Conduct artwork condition inspections and draft detailed condition reports, including images, upon request.

  • Facilitate and coordinate with the Collectors, Senior Registrar, and shipping staff regarding the ongoing, day-to-day care, maintenance, risk management and movement of objects between various locations including private residences, galleries, and offsite storage facilities according to professional museum standards.

  • Facilitate and supervise visits to all art storage facilities and private residences with registrars, conservators, framers, other gallery staff and outside vendors as it relates to collection management, tracking, general inventory and special projects.

  • Manage annual inventory.

  • Manage and monitor the condition and appearance of all art and crate storage areas (Manhattan, Brooklyn, and New Jersey) in a secure, clean, organized and work-ready state, according to museum standards.

  • Oversee updates on an accurate and timely basis for art movement logs, tagging of artwork, physically numbering artwork, and updating insurance values to maintain collection inventory control according to Collection/Pace policy and procedure.
