The Assistant Director of Development & Outreach (ADDO) supports the Director of Development & Outreach (DDO) and the team as a whole by overseeing specific annual fundraising initiatives, alumnae engagement, programmatic marketing, and internal operations. This position involves active team collaboration and interfaces with external and internal constituents. Based in Hedgebrook’s Seattle office with the expectation of periodic working days at the retreat on Whidbey Island, and event support on evenings or weekends, as needed. This is a full-time, exempt position. The salary range is $65,000-$75,000 DOE.

Responsibilities
  • Project Management: In collaboration with the DDO, manage the existing departmental tactical calendar, planning documents and other implementation tools to ensure timely goals and benchmarks are met. Create distribute and organize internal meeting agendas, track staff deliverables to ensure project deadlines are met.

Annual Fund: Lead efforts to shape and execute spring and fall annual fund appeal campaigns as well as GiveBig and Giving Tuesday. Develop written materials for solicitation and stewardship of annual giving level prospects, including gift renewals, thank you letters, recognition lists, and reports.

  • Event Management: Plan and manage Equivox, Hedgebrook’s annual signature event and fundraiser. Plan and coordinate other events throughout the year.

  • Copywriting/Editing: Draft short to medium length e-newsletters, website copy, forms, and letter templates. Oversee design for invitations and collateral. Effectively proof, edit and track pieces through the organizational routing process.

  • Alumnae Programs: Work closely with Hedgebrook’s Development & Outreach Coordinator in setting goals, managing budget and reporting on progress with strategies to build Hedgebrook’s alumnae network. Employ regional affinity groups, digital content strategies, and social networks to forge opportunities for alumnae to build community, promote their work and support Hedgebrook.

Internal Operations/Systems: In collaboration with the Donor Database Assistant and the cross-departmental systems team, contribute to the ongoing plan for data and systems integrity. Strategize and implement departmental tasks on schedule in support of organization-wide goals. Manage departmental files on Dropbox and ensure they are complete and organized.

  • Data Analysis: Extract and analyze data from various sources such as eTapestry, Constant Contact, and HootSuite. Provide updates, comparison reports and/or dashboards as needed.

Staff Training/Professional Development: Guided by the professional development components of the department’s tactical calendar, ensure that all team members are completing ongoing professional education and trainings as planned/required. Provide feedback/progress reports on departmental goals.

  • Represent Hedgebrook: Attend community and professional functions as appropriate to represent Hedgebrook.

  • Other duties as assigned.

Requirements

A Bachelor’s degree and 3-5 years management experience in development, marketing/communications, or related field. An equivalent combination of comparable knowledge and skills may substitute for education and/or experience.

Demonstrated strong computer skills, including proficiency with Microsoft Word, Excel, PowerPoint, WordPress as well as donor management systems and project management software. Demonstrated passion for Hedgebrook’s mission, vision, and values.

Skills/Experience:

Excellent interpersonal and relationship-building skills, works well alone and within a team.

Proficient in written communications, with attention to spelling and grammar.

Ability to manage multiple priorities and competing demands.

Punctual, responsive, and reliable.

Proficient in Word, Excel, Constant Contact, eTapestry, Podio, WordPress, PowerPoint,

social media, and survey platforms.

Knowledge of alumnae relations principles preferred.
