We’re looking for a STUDIO MANAGER to join our team in Barcelona.

If you’re a taskmaster with an eye for design, we want you! We’re looking for someone who is great with clients and is passionate about growing with the agency. We want you to be a part of Apartamento Studios for the long haul and, in doing so, feel inspired to contribute to developing and implementing new managerial processes for the studio, facilitating internal communication, and building strong client relationships.

This is a pivotal role in the studio: you’ll work alongside our founders – who are based in Barcelona, Berlin and New York – acting as liaison between them and the creative team in Barcelona. You’ll manage a variety of projects from pitching to execution, ensure projects are delivered on time and on budget, and foster a transparent, honest and positive team environment.

You are proactive, diligent, enthusiastic and quick-learning. You should be comfortable wearing many hats —juggling projects and clients simultaneously without losing sight of the bigger picture, supervising deadlines, and optimising the general workflow of the studio. You should be able to provide quality guidance for clients and suppliers, and be confident managing a team.

Barcelona-based, the position is full time — English is a must, so is a working knowledge of Spanish. Fluency in Italian or other languages is a welcome plus.

Responsibilities
  • Develop, manage, and track a wide array of multi-faceted creative projects from initial pitching through to completion;

  • Conduct research, write proposals, develop pitch presentations, identify opportunities for organic growth and project extension, and overall manage new business development opportunities under the guidance of the team leads;

  • Work collaboratively with team leads in project setup to identify team members, define roles based on individual’s strengths and skills, create timelines and budgets, and define design briefs;

  • Represent Apartamento Studios as the primary client contact and proactively bring forward ideas and solutions to enhance the client’s business, the client relationship, and the work;

  • Manage internal resources to ensure each project has the right staffing complement, and determine any freelance requirements;

  • Manage the financial health of projects. Track progress, hours, and schedules against the agreed project timeline and budget, and manage all client invoicing for fees and billable disbursements, working with finance to ensure all accounts are kept reconciled and in good standing;

  • Evaluate and report on progress on a weekly basis to account for schedule shifts and scope changes, ensuring we’re on-track to deliver, reviewing the effectiveness of our activity and proactively looking for ways to improve it;

  • Lead regular meetings with the creative team to facilitate open discussion and transparency with any outstanding and overlapping tasks;

  • Work with external vendors and be diligent to associated time and cost restraints;

  • Make sure the office is kept in working order and team needs are fulfilled. Be first touch point for the team in any professional matters, such as scheduling and holidays. Additionally liaise with support staff to book meetings and travel when needed.

Requirements
  • Broad understanding and appreciation of design – ideally from a role within a creative agency or design studio, with min 5/7 years experience;

  • Ability to show leadership skills in a team, strong interpersonal skills and a flexible, committed attitude to work;

  • Impeccable communications skills: whether it’s keeping people in the loop, explaining an approach, giving and receiving feedback, or advocating for a solution within the company;

  • Experience interacting with clients including senior level executives;

  • Ability to assign tasks, identify strengths and weaknesses, while managing and mentoring junior team members;

  • Outstanding organisational and problem solving skills, with the ability to set priorities within a fast-paced environment, to manage a number of tasks concurrently and work independently;

  • Excellent English with oral and written communication skills, at least a working knowledge of Spanish – fluency in Italian or other languages is a welcome plus;

  • Passion for design, interiors and architecture and obviously an enthusiasm for Apartamento Magazine.
