The Pulitzer Arts Foundation is seeking to fill the position of Executive Assistant to the Director. Responsibilities will include a full range of high-level administrative support as well as office management and board relations.

Responsibilities
  • Administrative support for the director, including calendar and contact management, travel and itinerary planning, meeting preparation and minutes, correspondence, research, and special projects.

  • Liaison to the Board of Trustees, including organizing meetings, materials, travel, logistics, and event planning. Transcribe and record meeting minutes.

  • General office management, maintaining files, and ordering supplies.

  • Manage departmental finances, including budgets, expense reports, credit card reconciliations, and check requests.

  • Prepare, edit, and proofread correspondence, remarks, memoranda, and other documents related to the operation of the office.

  • Assist in the organization of special events, dinners, tours, and staff events.

  • Arrange visits for special guests, offer tours, and field inquiries.

  • Participate in internal meetings, including note taking for key meetings.

  • Record donations and gifts to the organization, and coordinate acknowledgements.

Requirements

Experience and Background Skills

Associates or Bachelor’s degree required and a minimum of two years’ administrative assistant experience. Must possess excellent communication skills, a high level of poise and diplomacy, solid organizational skills, meticulous attention to detail, and the ability to manage multiple tasks and meet deadlines in a fast-paced environment. Proficient in web-based and office management software and databases.
