Bas Fisher Invitational is seeking a part-time employee to fill a hybrid position of Development and Financial Manager to join its energetic and experienced staff of two. While this is largely an administrative role, we are looking for someone who shares our belief that art can open doors to further community engagement, be a safe space for experimentation, and amplify voices that might not otherwise be heard. We imagine this position to be well suited for an early-career development professional looking to grow into a senior role and make a substantial impact on a small-scale organization.

They will work the majority of their hours leading BFI’s fundraising initiatives, and managing the organization’s finances. The Development and Financial Manager advances and supports the organization’s efforts to secure private and government grant funding by overseeing activities pertaining to BFI’s grant strategy, including: locating funding sources, preparing grant proposals, communicating with internal and external stakeholders, and fulfilling reporting requirements. They must possess the ability to distill complex ideas and organizational strategy into a clearly articulated case for support.

The Development and Financial Manager will additionally oversee the organization’s annual budget, track individual project budgets, and identify opportunities to expand the organization’s funding portfolio. They should have or be able to quickly gain an understanding of tax reporting procedures for 501c3 arts organizations, and will work with an external accounting firm to file annual reports. They will work in collaboration with the Director, Operations Manager, and an external grant writer to create funding proposals.

While BFI staff sometimes work from temporary gallery/office space, it should be assumed that most work will be performed remotely. BFI would prefer to work with a Development and Financial Manager who is based in Miami, Florida, who understands the nuances of local funding and can contribute to growing the creative community of South Florida. There are times when your in-person attendance to grant panel meetings or events may be requested. That being said, BFI staff excel at working remotely, and BFI will consider hybrid or alternative working arrangements as long as the applicant can successfully perform the essential functions of this position.

Responsibilities

Principal Responsibilities (Essential Functions):

Grant Management & Development:

  • Research, identify, solicit, and steward prospective and current grant and foundation funders to support programs and projects throughout the organization.

  • Prepare grant applications and reports to meet specified deadlines, including research, inter-departmental collaboration, authoring, editing, and submission.

  • Organize supplemental materials such as past-programming decks, press-highlights, audience and artist surveys, and other requested upload materials.

  • Lead grant efforts toward the submission of compelling grant applications; comfortable with project management to keep team members on track to fulfill requirements by established timeline.

  • Attend panel meetings (Specifically for State of Florida, Miami Beach, and Miami-Dade County grants)

  • Monitor the progress of awarded grants and meet reporting deadlines as set by the funder.

  • Assist with preparation of written proposal solicitations presented to individuals, corporations and foundations outside of the grant process.

  • Communicating with donors; writing gift acknowledgements, tax receipts, and thank you notes

  • Establish weekly cultivation and solicitation outreach priorities with the Director and other staff, as appropriate

  • Support the Director with Board relations, especially in preparation for annual meetings 


  • Organized, detail-oriented, and able to prioritize and manage multiple projects at once

Accounting:

  • Maintaining books for 501c3 arts organizations with an external bookkeeper

  • Payroll Administration & Tax Filings

  • Invoice Management

  • Insurance Policy Coordination

  • Perform basic administrative tasks as they arise

  • Work one-on-one with both emerging and established artists, ensuring project budgets are followed as proposed or adapted accordingly.

  • Correspond with multiple artists at a time to determine projected expenses.

  • Attend company staff meetings, workshops, and events.

Secondary Responsibilities:

Assisting in production and installation of art exhibits, talks, events, virtual programming, and educational outreach. Job occasionally includes select evenings to staff events.

Requirements

Education, Training, and Traits:

Bachelor’s degree from an accredited college or university required

Knowledge of standard concepts, practices and procedures related to the position, including; familiarity with business software applications and ability to learn new online platforms used by agencies for grants management; use of best practices in proposal development including budget development and allocation; understanding of branding and positioning strategies for the institution and for specific projects; ability to learn subject-specific terminology for use in developing written materials; knowledge of when and how to use various channels of communication.

Equivalent combination of relevant education and/or experience will satisfy the minimum requirements.

Work Experience:

Minimum two years of experience in business, grant, or technical writing, communications, English, media relations, or related field.

Demonstrated proficiency in Mac OS, MS Office, Google Workspace, Quickbooks, Adobe Suite.
