Development Coordinator

SITE SANTA FE

The Development Coordinator is an integral part of SITE SANTA FE’s Development Department team, providing critical administrative and event support for an array of fundraising initiatives. The position reports to the Director of Development, serves as both a public and internal liaison for the department, and works closely with each member of the Development team to ensure organized, timely, kind, and sophisticated donor stewardship.

Responsibilities

Donor Relations and Data Management:

− Produce and manage contribution statements and invoices for various constituencies and donor groups

− Daily management of Member and Donor constituent lists and MailChimp mailing lists to ensure all contacts are properly moved through the development process and acknowledged appropriately. (These lists include the Major Gift portfolio,

Membership, Patron Program, and Business Council)

− Draft special content for sponsorship thank you letters and manage timely acknowledgements

− Sync regularly with the Development Director and the Development and Membership Manager on public acknowledgement for donors. Outlets include the digital donor board, website, wall texts, printed materials, slides for public programs, etc.

− Ensure that key donors receive reminders and special notes to attend programs

− Support prospect research and constituent database updates

− Create and manage invitation lists for all cultivation events

− Manage fundraising campaign lists (Annual Benefit, Annual Fund, Auction, etc.)

Event Support:

− Track rental and event inquiries, and support rentals as needed

− Serve in a support role for Development cultivation events and select programs – check-in, preparation, breakdown, etc.

− Serve in a support role for all aspects of the Annual Benefit

Administrative Support:

− Liaise between the Development and Finance staff members re: incoming gifts, assist with questions regarding Membership accounts, and take credit card payments for donations

− Serve as point of contact for visiting museum patron groups, museum colleagues, and other special guests, utilizing the three-tiered system to manage expectations and plan visits and itineraries accordingly

− Serve in a support role for the SITE SANTA FE Travel Program, managing patron inquiries, contact sheets, and other details related to patron travel

− Support the Development Director with setting up meetings with prospects and weekly calendar management

− Manage the Development Director’s credit card expenditures and travel arrangements

− Provide additional support to the Development Department team as needed

Requirements
  • Possesses a high degree of computer literacy and competency in Google Suite and MS Office suite, particularly Word, Excel, and PowerPoint

  • Minimum one year of experience in donor stewardship or membership cultivation

  • Experience with database management and utilization

  • Excellent communication, writing, networking, and presentation skills

  • Excellent organizational and analytical skills, and a strong attention to detail

  • Proven ability to prioritize and manage time, take initiative, be a creative problem-solver, and meet deadlines in a fast-paced environment with rapidly shifting priorities

  • Must have a flexible schedule (occasional nights and weekends required)

  • Ability to work collaboratively with staff and maintain a high degree of professionalism in a dynamic and creative setting

  • Discretion in handling confidential and sensitive information
