LAXART is seeking a program & development assistant to oversee the daily operations of the non-profit gallery. A key member of a small and dynamic staff, the program & development assistant provides support to the executive director and deputy director as needed, and facilitates all of LAXART’s development activities with the director of development. The program & development assistant interfaces with public visitors and must show an interest in arts and culture while being courteous, professional, helpful, and friendly. While primarily a staff support position, this role offers opportunities to develop original web and promotional content and contribute to curatorial programming and fundraising activities.

Responsibilities

Daily operations

Opening, closing, and watching the space, Tuesday through Saturday at 11am to 6pm. Must be willing to attend events and occasional meetings on evenings or off-days

General office management tasks such as printing, ordering supplies, answering phones and emails

Liaise with contract IT person with regard to systems and tech repairs

Executive assistance/Office admin

Oversee calendar management for Executive Director, schedule travel logistics for ED and visiting guests

Meeting prep and compiling presentations as needed

Supervise/manage and oversee hiring of intern(s)

Enter monthly bills, vendors, and invoices into online system

Serve as point person for all utility companies and liaise with them on changes to services

Process payments for books, goods, and event tickets with other staff members

Programming assistance

Assist with special projects and conduct research

Assist with planning and implementation of the gallery’s exhibitions, special installations, publications, and public programs. This includes communicating with artists, studios, galleries, and vendors as needed. Attend all events until close of space

Work with vendors and designers to produce and oversee printed and web-based communications material

Greet and educate visitors about the exhibitions and events at LAXART

Development assistance

Maintain & refine database of contacts and donor relations; maintain donor files

Along side the DoD, maintain weekly development report; track and acknowledge all gifts

Along side the DoD, add to and update pipelines

Assist with special events production both on-site and elsewhere, including liaising with vendors, purchasing supplies, handling contracts and other correspondence

Assist in managing annual benefit including soliciting and stewarding sponsorship, liaising with artist studios, overseeing digital collateral, tracking donations and special event revenue, tracking donated artworks, managing event logistics

Assist general donor stewardship by drafting letters and emails to existing and prospective donors

Assist with the preparation of grant application materials and related reports

PR/Marketing assistance

Serve as primary liaison between staff and outside website and other design services

Manage, draft, and execute all email blasts and mass mailings

Alongside DoD, manage and feed collateral to outside PR firm

Take an enthusiastic and active role in developing LAXART’s social media presence; Develop original content for Facebook and Instagram; track metrics and analytics

Produce programming and event decks with curators and DoD

Requirements

Bachelor’s degree and 1-2 years of assistant experience, preferably in a non-profit, gallery, artist’s studio, museum, educational institution, or related field

Self-directed and independent; Ability to assume responsibility, function effectively in team environment with minimal supervision

Ability to meet deadlines; manage multiple expectations; Detail oriented, organized, and able to multi-task; proactive problem solving skills

Strong interpersonal skills; excellent verbal and written communication skills including telephone and email etiquette

Adept at quickly learning new processes, technology, and ability to adjust oneself and become familiar with existing systems

Strong command of the Microsoft Office suite and social media platforms; experience maintaining digital and paper filing systems preferred

Willingness to work a flexible schedule to accommodate needs outside of regular hours
