Here is what you will get to do:
Manages facility rentals by coordination of facility space, labor, equipment, ticketing services and food and beverage commissions for Scottsdale Arts and the City of Scottsdale’s use of the facilities.
Interviews prospective rental customers and assesses technical and operational requirements.
Accompanies prospects to venue and discusses size and layout of rooms, available facilities, services available, and terms of contract.
Supervises staff during rental events to ensure clients’ needs fulfillment and facility standards.
Completes contract or agreement and collects rental deposits. Creates facility use estimates and prepares final settlement billing. Assists with fiscal oversight of program, developing budgets, monitoring variances, and forecasting opportunities and/or budget concerns.
Maintains professional contacts with clients to ensure professional service levels and working standards.
Coordinates all aspects of rental event planning for facility use, including point of contact and communications with all SA departments.
Performs a variety of supervisory functions including oversight of staff, recruitment, employee relations, training, performance review, counseling, scheduling, work assignments, problem resolution etc. Supervision is performed in accordance with organizational policies and procedures and supports a positive organizational culture
Ensures that facility users comply with policy and procedures relating to risk management and financial arrangements.
Oversees the Non-Profit Rental Support Program. Gathers applications, assists organizations in participating, sets up review meetings, communicates results, etc.
Develops and implements marketing strategy that will meet Rental Program budget objectives.
Manages budget for facility rentals.
Here is what you will need to be successful:
Education: Bachelor Degree in communications, business management or related discipline.
Experience: Minimum of 3 years’ experience in facilities management and rentals or combination of education and experience.
Attributes:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.
Ability to speak effectively before groups of customers or employees of organization.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Proficiency in use of electronic communications such as word processing, spreadsheet, presentation programs, Internet research and EventPro.
Excellent oral, written, organizational and interpersonal skills.
Knowledge of facilitation management and practices and ethics in public assembly facility management; knowledge of estimating, budgeting and scheduling practices; knowledge of building codes and standards of practice; knowledge of good service practices and regulations;
Ability to plan, service and supervise public and commercial settings, establish and maintain effective relationships with fellow staff and facility users, plan, direct and evaluate the work of subordinates.
Work Environment: While performing the duties of this job, the employee is regularly required to sit. The employee frequently is required to talk or hear. The employee is occasionally required to stand; walk; use hands to finger, handle, or feel; and reach with hands and arms. The employee must occasionally lift and/or move up to 40 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. Must be available to work evenings and weekends as needed, scheduled or required.
Must possess valid driver’s license and driving record which is acceptable to the organization’s insurance carrier.
Within 2 months of hire to take AZ Approved liquor license training, public safety plan security training and IAVM Crowd Manager certificate.
