SALES ASSISTANCE
Assist with management of the Principal’s sales
Conduct extensive research and generate proposals and/or presentations for projects and clients, obtain images, provenance, press packets and all other relevant documentation for offers
Compile market research for primary and secondary works
Liaise with clients, artists, curators, and provide support as directed for the Principal (including but not limited to: consignment agreements, shipping and installation schedules, offers, invoices, payments alongside the accounting team)
Keep informed of contemporary art world happenings
Oversee the private art collection
Work on daily tasks and long-term projects on behalf of the Principal
Assist the Principal with creating production timelines and tracking progress
Assist with Museum loans and acquisitions as needed
Oversee auction activity
Assist the Principal with additional responsibilities as required
TRAVEL ASSISTANCE
Arrange travel and accommodations for the Principal
Deliver travel itineraries, including all confirmations and appointments, as well as exhibitions and points of interest
SCHEDULING AND CLIENT MANAGEMENT
Communicate important dates, events and other general obligations via daily reminders to the Principal
Schedule and manage appointments, meetings, dinners, conference calls, the Principal’s calendar
Schedule private viewings for the Principal with clients, consultants, curators and coordinate installation with Art Handlers
Tidy spaces before appointments and greet and assist clients as needed
Manage and organize the Principal’s contacts and their interests within the Rolodex; keep contact records updated and accurate in ArtLogic
GENERAL ADMINISTRATIVE
Assist the Principal with all administrative needs, including scheduling, correspondence and communication management, research, data entry, gifts, mail, bills, invoices, invitations and errands
Help maintain digital and physical organization, filing documents, and general paperwork on behalf of the Principal
Sort mail; arrange and accommodate general small incoming and outgoing shipments, as needed on behalf of the Principal
Ensure office space is presentable and set every morning and throughout the day
Handle any incoming messages for the Principal ensuring all messages are delivered in a timely fashion
Fulfill monthly expense reporting for the Principal, organize receipts, submit T&E reports to accounting, and provide thorough explanations whenever needed
Assist with private events and dinners as needed
Liaise with IT support
ERRANDS/MISCELLANEOUS
Execute any personal errands, tasks, etc. in a timely manner
Execute any and all tasks associated with special projects
Arrange daily meals and lunches for the Principal and clients/guests
Execute a wide range of administrative, operational, and overseeing facilities duties on behalf of the Principal, including but not limited to communications, subscriptions, archives, inventory, vendor coordination, and issue resolution
REQUIREMENTS
Knowledge of Artlogic, Google Workspace, Mac OSX, and Microsoft Office Suite is preferred
Self motivated, trustworthy and responsible
Reliable transportation and insurable driving record
Bachelor’s degree in Art History or related field
Candidate must be extremely organized, detail oriented and possess exceptional communication and interpersonal skills
Multitasking is expected, and basic and complex tasks should be attended to with equal diligence and attention
Flexible and adaptable; able to take direction well and shift priorities with urgency if necessary
Excellent written and verbal communication skills
This position may require lifting or moving items over 50 pounds
Ideal candidate is open-minded and able to work well in a fast paced, high-pressure environment, as well as independently and efficiently on their own
Competence to work well under pressure and meet deadlines
Prior experience working in a contemporary art gallery, museum, or artist’s studio for a minimum of two years is strongly preferred
Thorough working knowledge of contemporary art
A flexible schedule, with availability to work additional hours as needed
Use of a personal vehicle for work will be required
This role requires flexibility and the ability to handle any tasks, anticipated or ad hoc, necessary to support the Principal and the team

Salary range is $70,000 to $75,000 per year, and is commensurate with experience
The position is full-time, 5 days per week, Monday-Friday, with some evening, weekend and potential travel commitments. Accessibility and availability across multiple time zones will be required
