Marianne Boesky Gallery seeks an Executive Assistant to provide direct support to the Founder. This position is full-time Monday through Friday, from 10am to 6pm, plus openings, events and on call as needed. Salary is commensurate with experience and a competitive benefits package is provided.
Candidates looking for exposure to nearly every aspect of a midsized contemporary art gallery are encouraged to apply. The responsibilities and skills required of this role are wide-ranging and include but are not limited to:
Manage the business and personal calendars for the Founder, including scheduling and preparing for meetings, managing calls, and following up on meeting needs
Inform the Founder of changing schedules, upcoming commitments, and daily responsibilities
Arrange professional and personal travel arrangements such as flights, hotels, and ground transportation
Provide primary and secondary market sales support including preparing materials for offers and viewings, presentations and research
Compile, create, and update artwork records, sales points, and overviews as needed
Plan logistics for VIP visits to the gallery, including viewings, walkthroughs, and events
Recognize and identify clients, press, and other important contacts and manage all in-person appointments
Assist in the managing of collection inventory
Process monthly expense reports, personal payables, and monitor budgets; assist with property management
Sort incoming mail, run errands, order and organize office supplies, and maintain office spaces for the Founder
Assist with personal tasks and errands as needed
Other projects as assigned

Availability (electronically) during âoff hoursâ in special circumstances
Bachelorâs degree or higher
At least three yearsâ experience in an executive or administrative assistant role in a comparable field
Knowledge of, and interest in, contemporary art
Proficiency in Microsoft Office, Adobe Creative Cloud, and iOS strongly preferred
Knowledge of artwork databases such as ArtBase or Artlogic is a plus #LI-DNI
