Our client, a high-end art gallery in Manhattan, is looking to hire an Executive Assistant to support their founder. The ideal candidate will have strong administrative experience, high

attention to detail, and is skilled at written and verbal communication and project management. This gallery shows both established and emerging artists across media and methodologies, and the ideal candidate should have an interest in contemporary art, curation, and collection.

Responsibilities

The responsibilities of the Executive Assistant position include the following:

Administrative/Project Management:

  • Maintain Founder’s schedule and inbox. This includes scheduling and organizing meetings, coordinating on-site logistics, and making sure appropriate follow-up occurs in a timely manner.

  • Organizing, drafting, and maintaining written communication including mail, invoices and approvals, sales PDFs, meeting agendas and materials, client offers, and any other requests from the Founder.

  • Serving as a conduit and delegating tasks to the appropriate staff member on behalf of Founder. Other ad hoc projects will may include photoshoots, client installs, exhibitions, art fairs, presents for clients or artists, events, dinners, archival, inventory management.

  • Ad Hoc archival / inventory projects.

Creative/Research:

  • Managing mood boards and Photoshop renderings for VIP clients and for exhibition planning.

  • Developing sales PDFs for communicating information about works and exhibitions to clients and curators. Some projects require additional research drawing from the internet, exhibition catalogues, conversations, etc.

Requirements

The ideal candidate will be professional, helpful, and polite when providing general staff support. You will be interfacing with artists, clients, vendors, and gallery visitors. Founder is looking for someone with an aesthetic eye, who is technologically savvy, and incredibly detail-oriented.
