Visions2030 is seeking an experienced LA-based events producer to manage a large-scale, multi-node eight-day event taking place at CalArts in Valencia, CA. Conceived as an “exploratorium” on climate change, taking place September 15–22, 2023, it will include large-scale immersive installations, art exhibitions, trade-show displays of eco-products, and other live programming.
This independent contractor position will work closely with our primarily New York-based team and will be responsible for assembling and directing an LA production crew, working collaboratively with us to plan and oversee execution, install, operation, and de-install. In the initial phase this role will work in a hybrid-remote capacity (6–10 hrs/week) with our New York team and occasionally in-person in Los Angeles for site visits, etc. In Spring 2023, this role will transition to a more full time commitment (30–40 hrs/ week). The trajectory of this project will culminate in the production/installation phase in August/September 2023, with post-event wrap and de-install to follow through late September 2023.
The role requires flexible hours and sensitivity to working in an arts/university setting with its own culture, needs, and oversight. It will require commuting to and from Valencia (northeast of the San Fernando Valley) and schedule flexibility to accommodate working on both Eastern and Pacific Time zones.
The ideal candidate for this position is well-connected to LA-based vendors, good-humored under pressure, with great management and communication skills, and comfortable in a fast-changing environment. Work closely with Visions2030 team on logistical planning; overseeing all aspects of event production, installation, operation, deinstallation and load out
Manage timelines and identify key milestones for all programming and project tracks leading up to September 2023
Identify, onboard, and lead team of vendors, on-site managers, installation crew, technical producers, production assistants; support the negotiation of rates, work scope, and schedules
Provide logistical guidance to our team in the planning stages
Build and manage a clean and organized system of production files on Google Drive for centralized production schedules, planning documents, budgets, calendars, etc.
Maintain a balanced budget; have meticulous oversight of overall budget and spending, being cognizant of cost-control needs
Identify technical specs and act as on-site technical lead and point of contact for crew and talent
Work closely with CalArts facilities department, prepare and secure any paperwork, permits, applications as needed. Lead coordinated site visits for vendors, talent, artists, etc.
Understand and structure the logistical touchpoints for the entry and flow of visitors through the CalArts campus
Keep a consistent schedule of production meetings, create agendas for and lead regular meetings in coordination with the Visions2030 team
Oversee post-event deinstallation with a thorough and efficient post-event schedule, deliver wrap reports
Demonstrated experience with events production
Experience working with arts installations, exhibitions, large-scale production, trade-fair format, familiarity with experiential design
Experience managing large budgets with multiple project tracks and moving parts
Strong understanding of visitor and audience logistics
Demonstrated experience leading crews and vendors on various simultaneous projects
3–5 years of experience working with audio and lighting systems, backline equipment, projection, live streaming, staging, rigging, and power requirements
