The Carpenter Center for Visual Arts is seeking an Exhibitions Manager/Registrar to join their team at Harvard University. The Exhibitions Manager/Registrar manages all schedules, logistics, finance, and administrative aspects of exhibition installation and projects in public spaces, including advanced scheduling, registration, budget planning and management, installation planning, fabrication planning, supervision of permanent and temporary staff, and daily operations. Collaborates with exhibiting artists, curators, and lenders towards the development and implementation of exhibitions and programing. Leads overall institutional coordination and works closely with Carpenter Center and university-wide facilities staff as manager of gallery and institutional public spaces.

Responsibilities
  • Reporting to the Director of the Carpenter Center for the Visual Arts, the Exhibitions Manager/Registrar is responsible for ensuring best practices in exhibition scheduling/planning and registration of exhibitions including: preparing and maintaining budgets, installation and de-installation (including art handling, care, display, safety, conservation and risk mitigation), registrar and archivist for all art, loans and artists commissions. Manages all logistics related to loans and traveling exhibitions, including contracts, documentation, insurance, condition reports, packing/crating, shipping and receiving. Ensures adherence to established policies with loan arrangements of artworks. Works creatively and collaboratively with artists and curatorial staff to manage fabrication, contractors, and other elements required for the creation of newly commissioned art works.

  • Manages full time Exhibition Production Assistant and responsible for evaluation, hiring and supervision of contractors, and temp art preparation staff. Trains Gallery Attendants and writes security protocols and procedures. Communicates with artists, curators, lenders and other museum institutions.

  • Researches and documents exhibitions methods within the historical parameters of the Carpenter Center. Maintain facility reports in collaboration with University and building constituents. Creates and manages physical and digital exhibition files and records. Documents final exhibition installation, maintains website content. Works in partnership with Assistant Director in event and public program logistics. Manages graphic printing, production and installation schedules.

  • Works closely with director on long-range planning for exhibitions, space use, budgets, and other strategic initiatives.

  • Collaborates with Art, Film and Visual Studies academic department with building and exhibition related public access and inquiries.

Requirements

Basic Qualifications

  • BA/BS is required; 4 years minimum experience working as an Exhibitions Coordinator/Manger, Registrar, Collections Coordinator/Manager, in an art museum or gallery with supervisory experience. Experience working with living artists and exhibition scheduling.

Additional Qualifications and Skills

  • Master’s degree or post-baccalaureate certificate in arts administration or museum studies preferred. Experience with contract negotiation and working with fabricators. Creative problem solver. Love of contemporary art. Authority on best practices in museum policies, registration, packing and crating, advanced exhibition planning, art handling, shipping, insurance, and museum legal and ethical issues. Motivating, generous, transparent leader who can work well in a team environment, highly organized and extremely detailed- oriented professional. Ability to supervise and train employees, including organizing, prioritizing and scheduling work assignments. Strong communication skills and the ability to work effectively with a wide range of constituencies in a diverse community. Experience with Adobe creative suite, Microsoft Office suite.

Physical Requirements

  • Ability to stand for long periods of time, bend, squat, stoop, climb ladders, walking up and down stairs frequently, lifting up to 30 pounds.
