The Solomon R. Guggenheim Foundation is seeking a Publications Assistant to work within the Publishing department. Reporting to the Managing Editor, the Publications Assistant copyedits and proofreads public-facing printed and digital materials; provides administrative support for all departmental business, including budgets and staff; and supports the management of trade distribution for all Guggenheim publications.

Responsibilities

Editorial (20%)

  • Copyedit and proofread printed and digital content:

    Works & Process series brochures and collateral content

    Miscellaneous education, membership, and other materials

    Event and exhibition descriptions for Guggenheim.org

  • Assist Senior Editors as needed (proofread catalogue layouts, compile copyright credits, cross-check edited exhibition catalogue manuscripts against a style sheet, etc.)

  • Track and traffic manuscript and page proofs to internal staff and independent contractors

Administrative: Departmental support (25%)

  • Schedule departmental meetings and weekly meetings for publications projects

  • Maintain “Publications” section on museum website and retail store website: coordinate photography of new titles, garner approvals for text and images, generate and traffic approved book title forms

  • Maintain departmental records, including contract and invoice archive, and master list of publications

  • Enter publications in annual awards competitions

  • Order departmental supplies

Administrative: Staff support (20%)

Support Managing Editor:

  • Draft and manage contracts for independent contractors, authors, and reprint permissions licensees

  • Apply for and obtain CIP data, register copyright information, and assign ISBNs

Support Production Managers:

  • Organize gallery orders of catalogues, generate invoices with Finance Department, send final invoices to gallery contacts

Budgetary (25%)

  • Maintain, reconcile, and track costs for catalogue and departmental budgets

  • Process and track invoices from independent contractors, authors, and other parties

  • Code departmental expenses

  • Organize and review book expenses for unit costing

  • Manage annual accrual process: attend sessions with Finance Department, communicate deadlines to department, compile and send approved forms to Finance

  • Coordinate creation of new catalogue project codes with Finance

Trade distribution (8%)

  • Prepare sales kits for distributors: coordinate deadlines for editorial, production, and management staff; organize and traffic materials; liaise with distributor contacts

Departmental internship program (2%)

  • Assist with hiring three interns per year

  • Assign projects and oversees schedule

Requirements
  • Bachelor’s Degree in related field required, e.g., publishing, journalism, art history, English

  • 1 to 3 years of relevant work or internship experience required, including some administrative work

  • Excellent writing skills

  • Strong organizational and interpersonal skills

  • Very detail oriented

  • Able to meet tight deadlines

  • Knowledge of art history preferred

  • Computer skills: Microsoft Office, Adobe Creative Suite, especially lnDesign

  • Foreign language(s) a plus
