Finance & Administration Manager

Job Summary:

A full-time salaried position, the Finance & Administration Manager advances SI’s mission in providing high-level management of the institution’s finances and human resources administration. As a mid-sized art space in the East Village, SI’s priority in recruiting for this role is to find an expert who will ensure compliance, financial controls, and overall staff well-being.

Responsibilities

The expected scope of services and responsibilities are as follows:

  • Working closely with the Director and advisors to establish and enact budgeting and controls to ensure organizational success

  • Weekly, monthly, and annual reporting to the Director and the Board for cash flow, Accounts Payable, and forecasting purposes

  • Managing the General Ledger and journal entries, including all Accounts Payable/Receivable and facilitating all vendor payment processing

  • Domestic and foreign bank account and credit card reconciliation

  • Administering ADP payroll, filing, and record-keeping

  • Reconcile balance sheet accounts and maintain fixed asset and depreciation schedules monthly

  • Facilitation of annual audit, including year-end financial statements in accordance with GAAP, and preparation of 990 and CHAR500 with auditor

  • Collaboration with staff on computation, acknowledgment, and reporting of annual Benefit and auction event receipts and contributions

  • Quarterly tax filings and annual preparation of 1099 and 1096 forms

  • With an HR Advisor, ensuring that SI recruitment processes attract a highly diverse and talented staff

  • Ensuring compliance with Federal/NYS hiring and termination requirements

  • Implementing new-hire orientation and onboarding programs

  • Overseeing and administer benefits offerings to eligible employees, including employee time off requests processing and tracking, and pre-tax offerings

Schedule:

Monday – Friday, 10AM to 6PM.

Requirements

Qualifications:

5 years + bookkeeping and HR experience required; non-profit and arts organization bookkeeping and financial management experience strongly preferred. Proficiency with QuickBooks, Excel, ADP, and Bill.com mandatory, while excellent communication skills, attention to detail, responsiveness, and a team-player attitude required. Enthusiasm for the arts appreciated.

Compensation:

$70,000-$90,000 range, and commensurate with experience. SI offers a competitive benefits package, including health, dental, and vision coverage; a health reimbursement account (HRA); commuter benefits; and generous paid time off.
