David Kordansky Gallery seeks an extremely organized, data-driven individual to join our team as Finance Coordinator. Reporting to the Director of Finance, the Finance Coordinator is a critical, cross-departmental role, responsible for supporting a range of significant functions of the Finance and Sales teams, including managing all artwork invoice requests from the sales team, generating invoices, corresponding with clients, and tracking payments, as well as assisting with accounting tasks such as expense reporting and reconciliation. This position is a full-time role, Monday through Friday, and will require flexibility for additional hours based on the needs of the gallery. A generous benefits package is offered.

PRIMARY RESPONSIBILITIES:
SALES & INVOICES:
Internally manage and monitor invoice requests from the Sales team, following standard protocols closely and with a high level of accuracy and attention to detail
Track and ask clarifying questions of Sales team regarding invoice requests in order to generate prompt and accurate invoices in the database
Maintain an understanding of when sales tax applies to a sale and/or invoice; assist with monitoring changes to client shipping destinations and resulting sales tax implications
Upon approval, email invoices to clients, maintaining a high level of customer service and confidentiality at all times
Communicate details regarding the sale and invoice to the wider team
Once payment has been received, notify relevant departments to ensure subsequent post-sale processes take place seamlessly
Generate non-art invoices, as requested
Review current systems and protocols and propose adjustments and improvements for more efficient and organized workflow
ACCOUNTING:
Upon receipt of client payments, queue artist payments and prepare Artist Statements
Work with Bookkeeper to ensure production is properly tracked, allocated, and reimbursed
Assist Bookkeeper with updating artist accounting statements
Assist the Finance team with tracking credit card transactions for select Sales team users
Investigate missing, open, and/or unaccounted transactions and/or receipts
Scan and digitally file credit card receipts
Process and collect credit card payments, as directed
Reconcile Sales team employee expense reports and verify charges
QUALIFICATIONS:
Our ideal candidate is highly detail-oriented (with the ability to spot numerical errors) with exceptional organizational skills; an excellent verbal and written communicator; and possesses the ability to work successfully in a fast-paced, deadline-driven environment. We seek candidates who are extremely self-motivated, responsible, and efficient, and who hold a sincere appreciation for and experience with navigating diverse cultural spaces. In addition:
Knowledge of contemporary art and an interest in sales encouraged
At least three 2-3 years of work experience, gallery experience strongly preferred
BA in Art History, Business, or Economics preferred, but consideration will be given to candidates with related experience
Academic coursework or work experience in business, accounting, economics, or finance welcomed; customer service experience strongly preferred
Intermediate skills in a Mac-based environment required, including: Google Suite (Gmail, Calendar, Sheets) and Microsoft Office Suite (Excel, including creating spreadsheets and basic financial functions)
Basic knowledge of ArtLogic and QuickBooks welcomed
Fluency in multiple languages welcomed

COMPENSATION & BENEFITS:
This is a full-time hourly position (overtime eligible) at 40 hours per week.
The pay scale for this position is $25 – $32 per hour.
