In its 58th iteration, the Carnegie International is the longest running survey of contemporary art in North America held every three to five years since the Carnegie Museum of Art’s founding in 1896.

The Registrar for the 58th Carnegie International works closely with the Director of Collections & Exhibition Management, the Associate Registrar for Exhibitions & Loans, and other museum colleagues, to fulfill registration and collections management responsibilities related to the 58th Carnegie International exhibition, opening to the public September 24, 2022 and closing April 2, 2023. Key responsibilities include the coordination and execution of loan agreements, the logistical coordination of the shipping and crating of loans, the care, handling, and oversight of objects, and collections management administration for loans to/from the museum (including documentation, condition reporting, insurance, contracts, and related legal documentation), and knowledge of governmental and other regulations as it relates to the 58th Carnegie International exhibition. The Registrar for the 58th Carnegie International also maintains accurate and up-to-date records of the exhibition, as well as data in the museum’s collections management system.

This is a temporary, grant funded position will ending on June 3, 2023.

Knowledge, skills, and abilities:

A successful candidate must be knowledgeable about fine arts shipping protocols (including knowledge of governmental regulations, immunity from seizure, and customs) and related record-keeping. Must be familiar with museum standards for conservation, preservation, and object handling. Superior organizational capabilities, attention to accuracy, excellent oral and written communication, and problem-solving skills are essential. The candidate must have proven ability to work independently and as part of a team.

PHYSICAL REQUIREMENTS: Must be able to regularly lift 40lbs and stand or sit for long periods of time. Some evenings and weekend hours are required.

Responsibilities

PRINCIPLE ACCOUNTABILITIES:

  • Works in collaboration with the Associate Registrar for Exhibitions & Loans to organize all logistical preparation for incoming loans for the 58th Carnegie International and other exhibitions, including but not limited to: contractual arrangements, loan agreement forms, review of artist contracts, condition reports, facility reports, supplying photographs, cataloging information, and other documents related to collections management.

  • Works in collaboration with the Associate Registrar for Exhibitions & Loans to plan and manage shipping arrangements for incoming objects for the 58th Carnegie International exhibition; monitors the installation and deinstallation of objects for the 58th Carnegie International and other exhibitions. Inspects associated objects and completes condition reports, making notes as needed; coordinates the packing, crating, and couriering of objects; establishes the date and method of shipping items; plans courier schedules.

  • Obtains shipping and crating quotes.

  • With the Director of Collections & Exhibitions Management and the Associate Registrar for Exhibitions & Loans, reviews loan and artist contracts for compliance with exhibitions stipulations (e.g., environmental and security requirements) and CMOA’s staff capabilities; helps prepare related paperwork; and communicates information/requirements in an organized way to relevant CMOA departments.

  • Maintains accurate records for all objects entering/exiting CMOA and updates location changes as necessary.

  • Collaborates with the Associate Registrar for Exhibitions & Loans and Chief Preparator to oversee packing/unpacking of objects and loading/unloading of trucks both on CMOA’s premises and while objects or exhibitions are on loan to other institutions.

  • Works with Director of Collections & Exhibitions Management and Associate Registrar for Exhibitions & Loans to coordinate with insurance providers to prepare and issue insurance certificates to lenders and vendors for the 58th Carnegie International and other exhibitions, as necessary.

  • Makes travel, hotel, and per diem arrangements for Carnegie International visiting couriers, and acts as their on-site point person.

  • Assists Collections department in preparing loan and exhibition information for the collections management system, as well as sorting and cleaning related data already in the system.

  • Consistently follows museum standards and protocols relating to conservation, preservation, and object handling.

  • Supports Collections department staff as necessary with processing of outgoing loans, new acquisitions, or other exhibitions.

  • Carries out other duties assigned by the Director of Collections & Exhibitions Management.

Requirements

Education and Experience:

  • A bachelor’s degree in museum administration, art history, or related field is required.

  • Minimum of five years work experience as a registrar in a museum setting with specific experience working with contemporary art and contemporary artists.

  • Proficiency in Microsoft Office programs and familiarity with collections management systems is required. Experience using Axiell EMu and Asana is preferred.
