Sean Kelly seeks a dynamic and motivated individual to join our team as the Front Desk Gallery Assistant. Poised and professional, highly organized and detail-oriented, energetic and well mannered, s/he is the primary point of contact for visitors to the gallery and answers the phone as well and manages general gallery email inquiries; therefore excellent interpersonal skills and the ability to prioritize tasks in a fast-paced environment are critical. Proficiency with Photoshop, social media and website management platforms is essential. Business hours are Tuesday - Saturday from 9:30am - 6:00pm.

Responsibilities

Day-to-day duties include but are not limited to the following:

  • Greet and direct gallery visitors at the front desk

  • Answer telephones quickly, efficiently, and confidently; maintain and manage voicemail and messages

  • Oversee incoming and outgoing mail; organize mailings and materials for collectors and curators

  • Carefully manage email, telephone and in-person sales inquiries according to sales protocol

  • Maintain and update gallery contact database and internal calendars

  • Manage general gallery inquiries

  • Oversee catalogue sales and inventories

  • Support Directors with assigned projects, including renderings and mock-ups, and general office tasks

  • Order and coordinate office, kitchen, and housekeeping supplies and mailing materials and equipment; maintain receipts and petty cash

  • Maintain archive, press and biographical information on the website

  • Format and distribute e-mailings and press releases

  • Assist with planning and management of openings and special events

  • Run errands as directed

Requirements

Required qualifications:

  • Bachelor’s degree in art history or related field

  • Prior gallery or administrative experience

  • Experience with Artlogic, Artbase or similar database

  • Fluency in Microsoft Word, Excel, Photoshop, Adobe Acrobat and website management platforms such as exhibit-E

  • Proficiency in a foreign language such as Spanish, French or Mandarin is a plus
