David Kordansky Gallery seeks a highly motivated, extremely organized, personable, and collaborative individual to join our team as a Gallery Administrator. The Gallery Administrator, Archives is a critical, cross-departmental role, responsible for supporting a range of significant functions of the Management & Administration team, including front desk coverage and visitor relations; administrative tasks and data entry; gallery and office tidiness; coordination of supplies; as well as press formatting and publication inventory organization, packing, and shipping. This position is an hourly, full-time role, in-person five days per week, and requires flexibility for additional hours based on the needs of the Gallery. A generous benefits package is offered.

Responsibilities

PRIMARY RESPONSIBILITIES:

  • Greet gallery visitors at the front desk, answer gallery phones, and facilitate client visits with staff

  • Maintain a comprehensive understanding of the history of the gallery, its artists, and programming, and provide accurate information to gallery visitors

  • Monitor artwork and building safety and security

  • Carry out daily opening and/or closing procedures

  • Maintain general tidiness of the gallery

  • Monitor supply levels and restock supplies

  • Run errands and arrange gifts on behalf of gallery staff, as needed

  • Assist in maintaining contact database records with up-to-date client and artist information

  • Manage event guest lists and monitor RSVPs

  • Assist with the preparation for all gallery events, including staffing openings, dinners, and viewings, as needed

  • During the COVID-19 pandemic, implement best practices for employee and visitor health & safety, including monitoring symptom and temperature checks; regular cleaning of high-touch surfaces; and overseeing staffing and visitor appointments at the gallery to maintain limited capacity

ARCHIVE RESPONSIBILITIES:

  • Support the Archivist in a range of tasks, including administration, inventory maintenance, artist record updates, publication assistance, and press requests

  • Assist in obtaining publications pertaining to gallery artists

  • Scan and format press and published texts in InDesign

  • Maintain physical archives and book inventory in a clean, orderly, and safe manner

  • Promptly add books and ephemera to artist archives

  • Regularly input artist CV updates as requested

  • Unpack and inventory all incoming book shipments

  • Monitor and fulfill (pack and ship) client book dispersals, complimentary book requests, and e-commerce orders

  • Update database records with public collection information and exhibition history, create new records as needed

  • Attend and staff local art book fairs, as needed

Requirements

QUALIFICATIONS:

Our ideal candidate is highly detail-oriented and creative with exceptional organizational skills; an excellent verbal and written communicator; and possesses the ability to work successfully in a fast-paced, deadline-driven environment. We seek candidates who are extremely self-motivated, responsible, and efficient, and who hold a sincere appreciation for and experience with navigating diverse cultural spaces. In addition:

  • Knowledge of contemporary art required

  • At least one (1) year of experience working in a public-facing, visitor relations position at a contemporary art gallery or contemporary art museum preferred, but consideration is given to candidates with related experience

  • Familiarity with contemporary art books in relation to gallery operations preferred

  • BA in Art History, Studio Art, or related field preferred

  • Skills in a Mac-based environment required, including: Google Suite (Gmail, Calendar, Sheets) and Microsoft Office Suite (Word, Excel, PowerPoint)

  • Basic skills in Adobe InDesign required; intermediate skills preferred

  • Basic knowledge of databases such as ArtBase / FileMaker (or similar) preferred

  • Fluency in multiple languages welcomed

  • Preference is given to candidates who have familiarity with global contemporary art, including art of the African Diaspora, Latin America, and Asia

  • Physical abilities to perform all core functions and duties, including but not limited to the ability to talk; hear; see; sit for extended periods; walk; climb, balance; stoop; kneel; crouch; crawl; push; pull; reach; and lift up to 50 pounds

  • Possession of a valid state driver’s license and reliable means of transportation to facilitate local collections and deliveries

COMPENSATION & BENEFITS:

  • This is a full-time hourly position (overtime eligible).

  • The pay scale for this position is $18 – $22 per hour.
